Service Support Assistant
Salary: £15.66 per hour (Umbrella)
Location: Glenfield (Leicestershire)
Client: Children and Family Services - Business Support
Contract Type: Temporary (Initial 3 months)
Hours: Full time - Monday - Friday (09:00 - 17:00)
About the Role
The Service Support Assistant will provide high-quality business and clerical support within Children and Family Services. The role involves maintaining accurate databases, supporting referral processes, liaising with families and partner agencies, and ensuring compliance with safeguarding and confidentiality requirements. Flexibility, teamwork, and excellent organisational skills are essential.
Key Responsibilities
* Maintain confidentiality and handle sensitive matters appropriately.
* Complete database tasks (case notes, uploading documents, correspondence, etc.) within set timescales and to a high standard.
* Contact parents/carers, referrers, and agencies to clarify or obtain information as directed.
* Provide excellent customer service by handling telephone calls, emails, enquiries, and visitors.
* Improve data quality in key systems, identify duplicate records, and support the software champion role.
* Produce professional correspondence, reports, spreadsheets, and presentations.
* Organise and support meetings, including agendas, minutes, travel, venues, and catering.
* Manage and prioritise incoming/outgoing correspondence, mail, and queries.
* Develop and maintain tracking systems to support workload management and customer service standards.
* Produce basic statistical reports using system functions and IT applications.
* Order and maintain stationery, forms, and consumables through i-procurement.
* Provide cover for duty lines, updating logs and ensuring accurate information sharing.
* Maintain filing systems, documentation collation, and monitoring processes for audit/inspection.
* Support HR processes such as sickness monitoring, leave returns, mileage claims, and resource libraries.
* Process financial records, including imprest returns, banking, receipts, and inventories.
* Ensure health and safety compliance, including risk management and incident reporting.
* Provide urgent administrative support to colleagues and senior managers when required.
* Carry out any other duties appropriate to the post.
Experience & Knowledge
Essential
* Previous clerical/administrative experience (ideally in the public sector).
* Experience using Microsoft Office (Word, Excel, PowerPoint, etc.).
* Reception/customer-facing experience, including handling telephone enquiries.
* Experience maintaining filing and record systems.
* Strong written and oral communication skills, with the ability to liaise confidently with staff and the public.
* Understanding of confidentiality and safeguarding practices.
* Evidence of establishing and maintaining manual and electronic admin systems.
Desirable
* Previous experience within Children and Family Services.
* Understanding of Ofsted inspections and requirements for C&FS.
* Experience in politically structured environments.
* Knowledge of County Council services.
* Liaising with external contractors.
Skills & Competencies
* Strong verbal and written communication skills.
* Good numeracy, literacy, and statistical analysis skills.
* Proficiency in MS Word, Excel, and Access.
* Ability to prioritise workload, work under pressure, and meet deadlines.
* Strong organisational and time-management skills.

Qualifications
Essential
* GCSEs, A-Levels, or equivalent qualifications.
* NVQ Level 2 (or equivalent) in literacy/numeracy.
* Word processing skills (or equivalent).
* Willingness to train in other software packages as required.
Desirable
* NVQ Level 2 in Business Administration (or equivalent).
* Shorthand and audio typing skills.
