The Christie Institute for Cancer Education are seeking an enthusiastic, organised, and motivated individual with a passion for events to provide high‑quality administrative and operational support to the Education Events Programme Manager, senior events coordinators and the delivery of national study days, conferences, clinical education and training. This 1‑year maternity cover role involves working closely with the team to support planning and coordination, operational event support, marketing assistance and supervision of event booking and invoicing processes. The post requires flexibility to accommodate early mornings, evenings and weekends on an ad‑hoc basis.


Event Delivery Support

* Support the delivery of CICE events, including study days, conferences and courses.
* Assist with virtual training sessions where necessary prior to the event.
* Act as the primary point of contact on the day of events, whether hybrid, face‑to‑face or fully virtual (including evenings and weekends).
* Provide advice on event‑management techniques to clinical leads and collaborating partners.
* Oversee the production of event outputs, including evaluation and engagement, and identify key successes to improve future events.


Event Administration & Coordination

* Administer events, creating booking sheets and ensuring registration information is accurate.
* Join and contribute to working‑party meetings to plan events, taking a lead when managers are unavailable.
* Act as the primary contact during pre‑event stages for speakers and stakeholders, answering queries and updating changes.
* Contact potential sponsors, generate income and assist with collating agreements and contracts.
* Confirm and issue joining instructions for face‑to‑face, hybrid or fully virtual events.
* Record education activity attendance and review key successes for future improvement.
* Supervise bookings and invoicing processes, ensuring accurate data communication to attendees.
* Publish events on Eventbrite and the Christie website via the Trust Web Team.
* Coordinate all administration activity on the day of the event to ensure smooth operation.
* Assist in evaluating event success and produce analysis reports.
* Prepare delegate packs, photocopy materials and handouts.
* Book external venues, coordinating accommodation and course dinners.
* Support overall priorities during sickness, absence or leave.


Marketing

* Work creatively within guidelines to promote events effectively.
* Maintain GDPR compliance across all activities.
* Assist with marketing, design and production of posters, flyers, programmes and delegate packs.
* Source relevant marketing materials pre‑ and post‑event from speakers.
* Update and produce social media content and support scheduling of posts.
* Assist on site with filming or production associated with an event.
* Create and assist with mailshots through the CRM system.
* Assist with marketing campaigns and research specialist groups or organisations.
* Promote the Christie NHS Foundation Trust as a leader in oncology education.


Management

* Manage delegated staff and ensure compliance with Trust health and safety, HR and risk management requirements.
* Ensure staff meet work targets aligned to their banding and experience.
* Support personal development of delegated staff.
* Coordinate overall activities with key members of CICE and other teams.


Finance

* Assist senior coordinators and programme manager in generating income targets through events, sponsorship and international visitors.
* Input financial data, including invoices, BJT’s, credit notes, and maintain accurate records on internal systems.
* Collaborate with the education centre team on room hire booking charges for internal and external events.
* Comply with Trust Standing Financial Instructions.


General

* Communicate with colleagues clearly and concisely.
* Respond to email and telephone queries about education events and programmes, directing to appropriate personnel.
* Take a proactive attitude to personal development and attend mandatory updates.
* Work flexibly around business needs, including early mornings, evenings and weekends on an ad‑hoc basis.
