We are seeking a highly capable Executive Assistant to provide senior-level support to the Managing Director and ensure the effective operation of the executive office.
Role Overview
As Executive Assistant to the Managing Director, you will act as a trusted and highly organised partner, managing priorities, communications, and day-to-day executive support. This is a pivotal role requiring discretion, excellent judgement, and the ability to operate confidently within a fast-paced, creative, and entrepreneurial environment.
Key Responsibilities
Executive Support
* Manage and optimise the Managing Director's diary, meetings, and travel arrangements, including domestic and international travel
* Prepare, review, and edit high-level correspondence, reports, presentations, and executive documentation
* Ensure the Managing Director is fully briefed and prepared for meetings, presentations, and engagements
Strategic & Project Coordination
* Support the Managing Director with key strategic initiatives and business-critical projects
* Track actions, deadlines, and follow-ups across the senior leadership team
* Conduct research and compile insights to support informed decision-making
Stakeholder Management
* Act as the primary point of contact between the Managing Director and internal and external stakeholders
* Build and maintain strong professional relationships with clients, partners, and suppliers
* Coordinate leadership meetings, including agenda preparation, minute-taking, and action tracking
Operational Excellence
* Handle sensitive and confidential information with the highest level of discretion
* Support the organisation of executive events, meetings, and special projects
* Identify opportunities to improve processes and efficiency within executive operations
Skills & Experience
* Proven experience as an Executive Assistant or Personal Assistant supporting a Managing Director, CEO, or senior executive
* Experience within creative, media, design, production, or entertainment industries is advantageous
* Exceptional organisational and multitasking skills with strong attention to detail
* Excellent written and verbal communication skills in English
* High levels of professionalism, discretion, and integrity
* Proficiency in Microsoft Office, Google Workspace, and collaboration tools such as Teams, Slack, or Asana
* Ability to work calmly under pressure with a proactive, solutions-focused mindset
