Location:
East Croydon area

Hours: 37.5 hours per week, 9.00am - 5.30pm. Hybrid working available depending on role responsibilities with 2 days working from home and 3 days in our office close to East Croydon Station.

What you'll do

* This is a pivotal role at the heart of the Estates team, acting as a bridge between property management, master data, compliance, and finance. Manage the high volume of queries in the property admin inbox, ensuring prompt and thorough responses, and support the supplier change process for landlord rents and service charges.
* Oversee the sub-let portfolio, manage tenant changes, and ensure the Horizon database is up to date.
* In master data, assist with the accurate setup and maintenance of property and supplier data across multiple systems (including Horizon, Oracle, and Retek), supporting Superdrug, Savers and Three.
* Drive GNFR (Goods Not For Retail) compliance, support tenant recharges, and ensure that costs such as service charges, repairs, maintenance, and insurance are recharged to tenants in line with lease terms.
* Handle daily property admin tasks: monitor the inbox, respond to and follow up on queries to completion, and manage landlord supplier changes with documentation and supplier setup for payment.
* Process rent and service charge reconciliations in collaboration with finance and support payment runs.
* Maintain data integrity across Horizon, Oracle, and Retek; update property and supplier records as needed.
* Support the property change note process (Blues) and ensure timely, accurate processing.
* Liaise with landlord, managing agents, internal teams, and external suppliers to resolve queries; produce and manage rent reports and ensure invoices are processed and authorised for payment.
* Provide day-to-day and project administrative support to the property management and property administration teams.


What you’ll need

* Experience with property management databases (ideally Horizon or similar) and large ERP systems (Oracle, Retek, etc.).
* Background in property administration or property accounts, with hands-on experience with accounts payable, credit control, and reconciliations.
* Knowledge of commercial property management.
* Strong IT skills (Microsoft Outlook, Teams, Excel, PowerPoint, Word) and experience with online/internal databases.
* Ability to build strong relationships, influence, and communicate cross-functionally at all levels.
* Experience in multi-site retail businesses and centralized finance/shared service environments is advantageous.
* Ability to understand the "big picture" while maintaining attention to detail.
