About the Role
We are seeking a highly organised, proactive, and professional Personal Assistant to provide comprehensive support to a Director within a fast-paced, dynamic business environment.This is a pivotal role requiring exceptional diary management, strong stakeholder coordination skills, and the ability to operate with discretion at senior level. You will act as a trusted partner, ensuring the Director's time is optimised and business operations run efficiently.Key ResponsibilitiesDiary & Priority Management
1. Proactively manage and coordinate a complex Outlook diary.
2. Prioritise meeting requests in line with business objectives and Director's priorities.
3. Track actions arising from meetings and ensure completion ahead of deadlines.
4. Anticipate workload peaks and adjust schedules accordingly.
Correspondence & Communication
5. Manage a high-volume email inbox, prioritising and responding appropriately.
6. Draft professional correspondence on behalf of the Director.
7. Ensure communications are aligned to tone, brand, and audience (internal and external).
8. Maintain strict confidentiality at all times.
Meetings & Logistics
9. Coordinate internal and external meetings, including venues, facilities, travel, accommodation, and hospitality arrangements.
10. Manage agendas for leadership meetings and follow up on action points.
11. Organise complex travel itineraries, including visas and expenses.
Team & Operational Support
12. Coordinate monthly "All Hands" meetings and cross-functional updates.
13. Support team events, off-sites, and recognition initiatives.
14. Maintain organisational charts and manage access to secure systems (SharePoint, MS Teams, etc.).
15. Provide occasional travel support to the Director's immediate team.
Reporting & Business Support
16. Prepare management reports, presentations, and briefing materials.
17. Coordinate inputs from senior leadership for projects and reporting.
18. Track escalations requiring Director-level attention.
19. Support continuous improvement of administrative processes.

20. Proven experience as a Personal Assistant or Senior Administrator supporting a senior leader.
21. Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, OneNote, and MS Teams.
22. Experience managing complex diaries and high-volume inboxes.
23. Exceptional organisational and planning skills.
24. Strong written and verbal communication skills.
25. Professional, discreet, and trustworthy when handling confidential information.
26. Ability to multitask, adapt quickly, and work proactively.
27. High attention to detail and strong decision-making capability.
28. Confident working with senior and high-level stakeholders.
