Part Time - 20 hours per week
To provide administrative support to the GP Associate Postgraduate Dean (AD), GP Training Programme Directors (TPD), GP Tutor and GP Training Programme Manager. This involves supervising, overseeing and coordinating the administrative requirements associated with delivering the GP Training Programme, postgraduate medical education plus post CCT GP and Practice Nurse education and continuing professional development (CPD) through the Swindon GP Education Trust. As part of the full Academy administration team, assist in the day to day operational running of the Academy including reception cover when needed.
Main duties of the job
* Understand and oversee the administration of GP Medical Education delivered by the Academy and across primary care, including receiving complex and confidential information and dealing sensitively and appropriately to this information.
* Support the GP Training Programme Manager to deliver the GP Training Programme and all GP Post Graduate Medical, post CCT and PN education. Use analysis of relevant data to produce reports for NHSEWTE, School of Primary Care (SoPC), Swindon GP Education Trust (SET) and, on behalf of SET, the Charity Commission and liaise closely with the same.
* Work within relevant policies and procedures and, where appropriate, suggest changes and improvements to practices and protocols within the Medical and GP Education Department.
* Evaluate mandatory teaching programmes for GP trainee doctors, CPD for post CCT GPs and Practice Nurses through liaison with the relevant leads and GP Training Programme Manager.
* With the relevant TPD and the GP Training Programme Manager, plan and coordinate the training placements for GP trainees across their three years of training. Work and liaise with NHSEWTE SoPC and the Medical Staffing Departments of the lead employer, Gloucester NHSFT, and Great Western NHSFT.
* On behalf of the AD and GP Training Programme Manager, be responsible for the planning, coordination and maintaining of data required for the full mandatory reapproval processes for GP Educational Supervisors, Clinical Supervisors and Out of Hours Supervisors and administer the GP TPD appraisal process for the AD.
* Work with and oversee GP administration colleagues in the delivery, administration, evaluation and quality of trainee teaching, GP medical education and CPD courses and be responsible for the day to day supervision of the GP education administrators including the Swindon GP Education Trust Administrator.
* Keep up to date financial records regarding invoicing, collecting and banking of SET membership, course payments and cost analysis. Within strict deadlines, prepare annual accounts on behalf of SET for submission to an independent accountant, SET Executive Committee and Trustees and the formal end of year returns to the Charity Commission.

* Good level of education. 4 GCSEs or equivalent including English language.
* Diploma Level qualification in a relevant subject or equivalent knowledge and experience.
