Job Title: Secretary

Key Responsibilities:
As a Secretary, you will play a vital role in supporting the Fee Earner by providing an exceptional secretarial service. Your main duties will include:
* Audio and Copy Typing: produce documents using the latest software (currently TFB Partner for Windows).
* Client Communication: Answer telephone calls and personal enquiries, ensuring messages are recorded accurately and follow-up actions are completed efficiently.
* Post Management: Collect and sort incoming mail daily, ensuring correspondence is organised and directed to the appropriate files before passing it on to the Fee Earner. Timely delivery of outgoing post is also essential.
* Filing and Organisation: Maintain up-to-date paper files and manage the case management system to ensure easy access to information.
* Administrative Support: Assist with copying, file opening, and other tasks as needed to keep the office running smoothly.
* Reception Duties: Provide coverage for the reception area when required, greeting clients and visitors with a warm welcome.
* Support fellow secretarial staff by answering phone calls and addressing queries during their absence.
* Comply with all organisational policies and procedures as outlined in the Office Manual and Quality Manual, ensuring a cohesive work environment.
* Maintain a high standard of personal conduct, enhancing the reputation of the organisation.
What We’re Looking For:
* Proven experience in secretarial or administrative roles.
* Strong audio and copy typing skills.
* Excellent telephone etiquette and client communication abilities.
* Proficiency in filing and managing documentation.
* A proactive attitude and a team-oriented mindset.
