Responsibilities
* Manage highly complex diaries for VP leaders, balancing competing priorities across multiple time zones.
* Coordinate international travel, visas, and detailed itineraries, anticipating issues and resolving conflicts proactively.
* Prepare high‑quality meeting materials, leadership briefs, and presentations for senior‑level forums.
* Act as a central coordination point for leadership meetings, governance forums, and cross‑functional interactions.
* Build trusted relationships with senior stakeholders and executive assistants across the organisation.
* Lead process improvements and operational support activities, including expenses, invoices, and purchase requests.
Basic Qualifications
* Proven Executive Assistant or Senior PA experience supporting VP level in a complex organisation.
* Experience supporting multiple senior stakeholders and managing high‑volume, fast‑changing priorities.
* Strong diary and travel management experience, including international arrangements.
* Excellent written and verbal communication skills, with confidence engaging senior leaders.
* Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams).
* High level of discretion and resilience when working under pressure.
Preferred Qualifications
* Experience in Big Pharma or a large matrix organisation, ideally at regional or global level.
* Exposure to large programmes or portfolios such as R&D, development, oncology, or commercial.
* Experience with expense, procurement, or HR systems (e.g. Concur, Ariba, Workday).
* Strong organisational skills paired with a proactive, solutions‑focused mindset.
* Comfortable learning and using modern digital and AI‑assisted productivity tools.
* Bachelor's degree or formal EA/PA or business administration training.
