Job Summary
The Property Operations & Systems Administrator provides operational and administrative support across the property portfolio, with a strong focus on Arthur Property Management System administration, contractor coordination, and work order management.
This role requires a highly organised, proactive individual with a strong administrative background, excellent attention to detail, and the ability to manage systems, reporting, and workflow processes efficiently.
The role supports Property Managers, On-Site Assistants, and contractors by ensuring that work orders, tenancies, system configurations, and operational processes are managed accurately and proactively.
Duties:
* Manage and assign all work orders raised by practices or internal teams, ensuring timely allocation and follow-up.
* Create new work orders within the system when required and ensure accurate job documentation.
* Monitor, track, and review the progress of all active maintenance and operational jobs through to completion.
* Liaise with contractors regarding scheduling, updates, and job requirements, ensuring clear communication at all times.
* Verify completion of works, obtain proper sign-off, close work orders, and escalate delays or issues to the Property Manager when necessary.
* Set up and configure new properties and units within the Arthur system, maintaining accurate and up-to-date records.
* Maintain and update contractor and Property Manager contact profiles, ensuring system data accuracy and integrity.
* Administer tenancy records by adding new tenancies, amending details, closing terminated tenancies, and maintaining complete documentation.
* Create, manage, and optimise system automations and workflows to improve operational efficiency.
* Generate regular operational and management reports, including ad-hoc reporting as required.
* Develop, maintain, and update mail merge and operational communication templates, ensuring compliance and accuracy.
* Provide ongoing operational coordination support to Property Managers, including contractor follow-ups and system-based process improvements.
