The Role:
To assist with administration and coordination tasks within the Asset Management team. Supporting the team to effectively manage the Majestic property portfolio.
Job Specifics:
1. Contract Type: Permanent
2. Location: Watford. Our Head Office is based in Watford, just 20 minutes from London Euston. From Watford Junction, we are a 15-minute walk to our Head Office*
*We are proud to offer an Agile Working Policy for Head Office colleagues; a blend of office and remote working which will include 3 days working at the Majestic Office each week.
Key Responsibilities:
3. Provide full administrative support to the Asset and Property team
4. Arrange meetings and take accurate minutes, distributing these promptly
5. Coordinate internal and external meetings, including room bookings and diary management
6. Raising and monitoring purchase orders and working within a budget
7. Reconcile accounts and ensure accurate financial record keeping
8. Logging and coding invoices, liaising with Finance and other departments as needed
9. Maintain up-to-date invoice records and track payment statuses
10. Reviewing and distributing correspondence / mail and escalating where necessary
11. Creating and amending standing orders and other rent payments
12. Being the first point of contact on invoicing and rent queries
13. Escalating issues and queries to the wider team
14. Arranging inspections and visits - liaising between store teams and agents etc.
15. Passing and checking legal documents for signature
Knowledge & Skills Required:
16. Excellent team working, communication, organisation and time management skills
17. Ability to multi-task and work under pressure
18. Experience using Sage and reconciling accounts is essential
19. Motivated and self-starting
20. High attention to detail
21. Good Microsoft Office skills - Excel, Word etc.
22. Adaptive and able to learn new processes quickly
23. 2+ years experience in a similar coordinator role preferred
24. Experience of the Property industry would be an advantage
