Overall purpose of the role:
We are seeking a highly organised and experienced Senior Apprenticeship Delivery Administrator to support the effective delivery and compliance of our apprenticeship programmes. The ideal candidate will have a strong understanding of apprenticeship frameworks/standards, funding rules, and robust experience using PICS or a similar apprenticeship learner management system, and Microsoft 365.
This role will play a pivotal part in ensuring our apprenticeship provision meets ESFA requirements, internal KPIs, and provides a seamless learner and employer experience.
Principal Accountabilities:
* Lead the administration process for apprenticeship delivery, ensuring timely and accurate learner onboarding, compliance checks, and data entry into PICS.
* Administer and monitor BKSB initial assessments and diagnostics, ensuring results are recorded and shared appropriately.
* Maintain accurate records of learner progress, ILRs (Individualised Learner Records), and evidence in line with audit and funding requirements.
* Support the delivery team with timely generation and management of learner documentation, including commitment statements, training plans, and reviews.
* Conduct regular data validation checks and support data integrity processes within PICS.
* Work closely with the Head of Education & Training to ensure full compliance with ESFA and Ofsted standards.
* Provide administrative support for internal and external audits, Ofsted inspections, and other regulatory reviews.
* Identify areas for improvement in administrative processes and help implement more efficient systems.
* Mentor and support junior administrators, acting as a point of escalation for more complex queries.
* Assist with reporting and tracking of key performance indicators (e.g., learner start/completion rates, functional skills progress).
* Support onboarding and induction processes for new learners and staff as required.
Essential skills:
* Proven experience in a similar apprenticeship administration role.
* Strong working knowledge of an apprenticeship LMS platform.
* Understanding of apprenticeship standards, funding rules, and Ofsted/Education Inspection Framework (EIF) requirements.
* Excellent organisational and time management skills, with the ability to prioritise and manage multiple tasks.
* High level of accuracy and attention to detail.
* Competent in Microsoft Office Suite (Word, Excel, Outlook, Teams).
* Effective communicator, both written and verbal, with internal teams and external partners.
Desirable skills:
* Experience supporting data audits and external inspections.
* Understanding of Functional Skills delivery and funding.
