Job Purpose Welcome to an exciting opportunity to lead administrative operations in the dynamic field of whole house retrofitting. As a scheduling coordinator, you will play a pivotal role in ensuring the smooth functioning of our operations, supporting our mission to revolutionise energy efficiency and sustainability in residential properties. Provides office services by implementing administrative systems, procedures, and policies, and monitoring projects, planning of works for tradesmen and liaising with the client, also to manage diaries for project manager, supporting and looking after the admin team. Key Responsibilities Maintains workflow by performance management and developing reporting procedures. Report on targets and implementation of company procedures alongside the project & operations manager Implement systems and procedures by analysing scheduling practices, recordkeeping systems, forms control, implementing changes to workload. Develop scheduling staff by providing information, educational opportunities, and experiential growth opportunities. Leads by example on scheduling and job management system implementation. Reviews & resolve administrative problems by coordinating preparation of reports and communication with staff, analysing data, and identifying solutions Provides support and training to the scheduling team. Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. Completes operational requirements by scheduling and assigning administrative projects, expediting work results. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies. Contributes to team effort by accomplishing related results as needed. Any Ad hoc tasks as advised by line manager Skills/Qualifications Reporting skills, administrative writing skills Microsoft Office skills Managing Policy & Processes Excellent organization Ability to analyse information, including problem solving and inventory control, Professionalism, verbal communication, managing staff. Experience of working on planning retrofit projects, construction, and/or maintenance contracts Desirable Retrofit Knowledge Proven Customer Service Skills Desirable Business Administration Level 3 or equivalent managerial qualification.
