The Role

As an Admin assistant, you will be act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing the facility upkeep, office stock, vendor management, preparing regular reports (e.g., expenses and office budgets) and organizing office events. Ideal candidate will also have a working knowledge of work environment, office equipment and office management tools.


Key Responsibilities:

* Manage upkeep (including equipment and tools) and cleanliness of office space including the work environment and always keep it presentable.
* Manage office supplies stock and process approval and place timely orders.
* Prepare regular reports on expenses and office budgets.
* Answer queries and provide support to employees (including those on Global Helpdesk tool) and clients.
* Provide access to visitors and clients and process such requests in timely manner including liaison with building security and management.
* Book meeting rooms as required and ensure support for all client and meeting requirements.
* Distribute and store correspondence (e.g., letters, emails and packages) and manage despatch and logistics through vendors (including liaison with the building management).
* Plan, support and manage in-house and external client events as required.
* Deployment of operational safety processes and procedures of building as per SOP.
* Laise with Head office to coordinate activities.


Your Profile:

Essential skills/knowledge/experience:

* Professional experience as administration officer or facility management.
* Experience with office management software e.g., MS Office (MS Excel and MS Word, specifically).
