Admin Support (Team Secretary) – Pharmacy Directorate
26.5 hours per week.
Main duties of the job
We have an exciting opportunity within the Pharmacy Directorate Office for a dynamic and organised individual to join our team. The role provides secretarial and administrative support to the Pharmacy Senior Management Team and the wider Pharmacy Directorate, with particular support to the Chief Pharmacy Technician.
Key duties include:
* Providing comprehensive administrative and secretarial support to the Pharmacy Senior Management Team and the wider Pharmacy Directorate
* Delivering dedicated support to the Chief Pharmacy Technician and the Pharmacy Business Support Manager
* Proactively supporting the Pharmacy Administration Team to ensure efficient operation of services including General Administration, Finance, Human Resources and Health & Safety
Qualifications
* 4 GCSE (C and above including Maths and English) or equivalent
* DSE Assessor
Knowledge, Skills, Training and Experience
* Development and maintenance of robust systems to ensure effective administration and organisation
* Demonstrable experience of working in an office environment
* Demonstrable confidence/experience in Business Admin
* Taking minutes
* Evidence of using audio transcription to type minutes/documentation
* Diary Management
* Ability to work as an effective team member
* Good communicator – written and oral
* Knowledge of Health and Safety in the Workplace
* Competent in the use of Microsoft Word, Excel, Outlook, Intranet and Internet and other relevant computer applications
* Ability to deal confidently and directly with all members of healthcare teams and members of the publicAbility to work unsupervised and within departmental guidelines/SOPs
* Pride in establishing and maintaining high standards of work and attention to detail
* Demonstratable experience of working in an office environment within a healthcare setting
* Knowledge of NHS policies
* Knowledge and experience of the hospital e-mail system
* Experience of preparing and managing rotas
