Job Overview
An exciting opportunity has arisen to join the 7B General Medicine administration team at North Bristol Trust as a Ward administrator.
The post holder will work as part of the 7B admin team to provide a comprehensive administrative service to the 7B Management team and Senior Nurses within 7B.
Main duties of the job
* The role will include:
* To manage annual leave, study leave and sickness for all staff working in 7B through the E‑Rostering computer system, entering data onto a range of study databases.
* Maintaining and managing the administration of all 7B tasks in close relationship with the 7B Senior Sister.
* To attend meetings to take minutes, involvement with room booking and the distribution of agendas, minutes and reports.
* To work effectively with your team and Trust colleagues to create a unified service.
Detailed Job Description And Main Responsibilities
* To provide a high‑profile leadership to the department and be available to give advice to staff.
* To be responsible for all Health & Safety issues, ensuring that staff are aware of Health & Safety policy, addressing any training need or operational/resource issue.
* To manage annual leave, study leave and sickness for all staff working in 7B through the E‑Rostering computer system, providing necessary information to Human Resources to facilitate monitoring of manpower information.
* To identify to the appropriate staff nurse, any emerging trends in sickness absence in accordance with Trust policy.
* To monitor budget for provision of all stationary requirements.
* To maintain effective communication within the department by attending regular team meetings, ensuring the Directorate communication process is robust.
* To ensure that data entry is of the highest standard.
* At the request of the Clinical Matron, General manager, Head of Nursing or Support Manager, to provide ad‑hoc information and reports as required.
* To develop good working relationships with colleagues both internal and external to North Bristol Trust.
* To ensure office equipment is regularly maintained in good working order and complies with Health & Safety regulations.
* To attend meetings to take minutes, involvement with room booking and the distribution of agendas, minutes and reports.
* To represent Theatres and Medirooms at meetings as identified by the Clinical Matron or Support Manager.
* To maintain close working relationships with nursing and medical staff who use 7B in order to provide a seamless service to all patients and relatives attending the department.
* To maintain or update the major incident call‑out list on a regular basis.
* To collate and respond to all donations and thank‑you letters received in the departments.
* Identify and organise Nursing Staff appraisals with appropriate Team Leaders ensuring paperwork is sent out in a timely manner.
* Be responsible for prompting staff with regard to renewal of professional registration.
* Undertake any other admin or clerical duties that may be delegated appropriate to the job band.
Person specification
Education
* Functional Skills – Maths and English.
Work Experience
* Previous NHS experience in hospital administration.
Desirable criteria
* Experience of using initiative but understanding when to request support from others.
Knowledgse/Skills/Abilities
* Demonstrate excellent analytical skills and be able to understand and work with SOPs and processes.
