About White Cube
White Cube was set up by Jay Jopling in 1993 as a project room for contemporary art. The gallery has since grown into one of the most influential commercial galleries in the world, representing internationally renowned artists such as Georg Baselitz, Tracey Emin, Antony Gormley, Mona Hatoum, Anselm Kiefer, Liu Wei, Park Seo Bo, Doris Salcedo and Jeff Wall. White Cube’s exhibition programme extends across locations in London, Hong Kong, Paris, New York, Seoul and online. Since its inception in 1993, the gallery has exhibited the work of many of the world’s most highly acclaimed contemporary artists.
The role
White Cube are looking for a dedicated Sales Coordinator to provide support as part of the London Sales Coordinator team in Mason’s Yard, assisting with a wide range of tasks. Provide dedicated pre and post sales coordination support to a Sales Director and the Founder’s office.
The successful candidate will have prior sales coordination experience with a good knowledge of primary and secondary markets. All duties should be performed diligently and calmly under pressure with collaboration amongst peers across multiple time zones. This role requires a high level of attention to detail, confidence to take initiative and excellent written skills.
Job responsibilities:
Sales Strategy Coordination
* Assist and support in maintaining good-working relationships with new and existing clients.
* Develop strategy for effectively segmenting and servicing client base, organising regular reviews and handovers where appropriate.
* Work with Director and Head of Client Strategy to identify new client targets considering regional focus and/or specific selling moments throughout the year.
* Working with Director, assist in developing new strategies, take initiative in researching and providing Director with new client targets with suggestions for how best to approach them
* Manage and maintain client database ensuring cards are populated with relevant information and regularly reviewed and updated.
* Assist with Director’s sales strategy and proactively offer strategic ideas for the placement of high value artworks.
* Gain full understanding of Director’s clients’ collection context and focus and proactively offer strategic ideas for the placement of suitable artworks.
* Undertake detailed client research, investigating collections and collecting activities, and update Directors regularly with all press/ articles/ news relating to existing or potential clients to enable effective targeting, document researched information into the sales database.
* Plan all business travel strategically ensuring that Director’s schedule is optimised to meet with clients, museums, artists plus attendance at key local events.
* Manage day to day client-related appointments on behalf of the Director, setting up meetings and viewings for Director’s clients.
* Ensure clients receive invitations to key gallery and wider social events.
Coordinate all pre and post sales administration such as:
* Record all offers and holds for both offices made on the database and ensure these are regularly reviewed and updated.
* Produce sales PDFs with artwork details, images, exhibition images, precis, museum comparables and any other relevant sales material for client offers.
* Draft formal client correspondence for artwork proposals across the primary and secondary markets, demonstrating strong written English, a refined catalogue-style writing approach, and meticulous attention to grammar, tone, and professional style.
* Draft formal client correspondence for art fair and exhibition previews, artwork information packs, invoices and catalogue mail outs
* Monitor and update the system with mail out correspondence bounce backs and share analysis on open rate
* Work with Finance and Compliance in the preparation of invoicing instructions including KYC / CDD policies.
* Liaise with Secondary Market and Legal teams relating to all incoming secondary market consignments.
* Act as the point of contact for clients by phone, email and in person as required.
* Inform all relevant departments of transactions and keep sales trackers updated.
* Assist with the preparation of client lists such as call lists, offer select lists, contact lists for events, email and catalogue mail-outs.
* Organise the hang of artworks for client viewings, communicating via Jobs and liaising with internal staff (warehouse / technical) to ensure the hang is executed.
* Liaise with Fabrication, Technical and Registrar departments on details and progress on completion date, outward shipment, and relay to clients expected delivery date.
* Monitor weekly unshipped works report and speak regularly with Registrars to discuss delays and progress.
* Collate and relay client lists for invites to forthcoming events.
* Ensure any issues encountered by clients are dealt with efficiently and appropriately.
Manage client requests not directly related to sales, including:
* Coordinate insurance valuations by collating relevant comparables and liaising with Artist Liaison and Legal teams to ensure accuracy.
* Draft letters of provenance in line with internal checklists and processes, liaising with Legal to obtain final approval.
* Coordinate with the Registrar team on loan agreements, ensuring timely communication with clients and adherence to all deadlines.
Other
* Work at gallery’s exhibition openings and external events as required.
* Attend internal meetings (Sales and Coordinator) as required.
* Attend regular internal training sessions as required.
* Manage Directors T&E budget and submit quarterly.
* Work flexible working hours during international travel and Art Fairs as required.
* Provide annual leave cover for other members of the team.
* Ad hoc duties as assigned.
