About the roleThis role is internally known as Business Services Support We have a permanent Business Services Support positions in our Post Room & Archiving (known internally as our multi storage facility) team. This role is 100% office-based, working in our modern head office in Stratford-upon-Avon. As Business Services Support, your role is to manage incoming and outgoing documents and correspondence, ensuring accurate routing according to policies. You’ll handle returned and mis-delivered post, prepare and dispatch bulk mailings, safely lift, move, and transport archive boxes between storage facilities and perform scanning and copying tasks as required, ensuring set policies and procedures are followed and customer deadlines are met. You’ll be responsible for collecting, sorting, recording, and delivering incoming and outgoing mail, documents, parcels, and archive boxes. All tasks must be done in line with manual handling guidelines and company procedures to meet service level agreements and customer needs. A valid driving license is mandatory as you’ll be responsible for transporting confidential documents to our nearby location using the company van. Further duties include: Investigate and resolve returned or misdelivered mail to ensure it reaches the correct destination. Calculate and report charges accurately to ensure correct billing to departments. Maintain and restock equipment as needed, reporting any issues to minimise downtime. Train new or temporary staff on key tasks and procedures to ensure safe and effective work. Record and report on Business Services activity to support service standards and decision-making. Locate and retrieve requested archive boxes Maintain accurate tracking records, update logs on the internal archiving system, and verify the location of stored archiving boxes Keep procedures up to date to meet security, health and safety requirements, and provide excellent customer service. About youYou have a willingness to learn and can-do attitude, alongside a combination of skills to ensure the smooth and professional handling of daily tasks. With existing customer service experience, you demonstrate a high level of customer focus, ensuring that internal and external needs are met with efficiency and a positive attitude. You have strong organisational and prioritisation skills to support managing workloads efficiently, particularly in a fast-paced environment, additionally your someone who can manage their time effectively. You possess excellent communication skills to support interactions with colleagues and customers in a clear and courteous manner. Finally, you’re confident with your computer skills, including comfortability using Microsoft Outlook for email.
