UKCEH is hiring anAdministrative Support Officer (ASO)to play a vital role at the heart of ourTender Support and Research Development and Impact (RD&I) Teams. This is an exciting opportunity for an organised,proactive individual who is skilled at managing information, coordinating activities, and supporting effective organisational processes.
The ASO provides essentialadministrative, data management, and coordination support, helping to ensure the smooth and efficientoperationof bids, tenders, and funding-related activitiesacross the organisation. Acting as a keymember of the team, the role helpsmaintainaccurate, accessible, and up to dateinformation that enablesinformsdecision-making andeffectivecollaboration.
Bymaintaininghigh-quality records, contributing to structured workflows, and enablingtimelycommunication and reporting, the ASO plays an important part insuccessful funding outcomes and strengthening UKCEH’s research impact. This role offers the chance to workwith colleaguesacross the organisation, contribute to meaningful environmental research, and be part of a supportive and collaborative team.
Your main responsibilities will include:
1. Database & Workflow Management:maintainingaccurateand uptodate records,monitoringtheir progress through the workflow, reconciling information across tools, and addressing any data gaps or inconsistencies.
2. Reporting & Routine Cycles:running key weekly, monthly, and quarterly reports, keeping shared calendars and HUB information updated, and managing the administration and distribution of quarterly customer surveys.
3. Day-to-Day Organisation: responsible for keeping file systems organised and compliant,assistingwith the creation and upkeep of SharePoint HUB pages, andmaintainingvalid system logins.
4. Supporting Tender Executives with Bid Activities: formatting and updating staff CVs,creatingandmaintainingaccuratekeyword profiles for staff, and formatting and collating submission documents using Adobe PDF Tools.

For the role of Administration Support Officer, we are looking for someone who:
5. Strong organisational and coordination skills
6. High attention to detail and accuracy in data handling
7. Clear, professional written communication andfollowupskills
8. Ability to work effectively to daily, weekly, monthly, and quarterly deadlines
9. Experience with, or willingness to develop skills in, SharePoint, Outlook, and Teams
10. Comfortable navigating multistage administrative processes
11. Strong MS Word skills (especially for document formatting)
12. Proactive approach toidentifyingand resolving data gaps or inconsistencies
13. Ability to handle confidential information appropriately
14. Interest in learning complex processes and contributing to ongoing system improvements
