Your Role
and What You'll Be Doing
As a Team PA within our Personal Injury team, you will:
1. Provide comprehensive administrative and litigation support to legal teams, ensuring smooth operation of case-related and non-case-related activities.
2. Manage legal files and documents using various systems.
3. Prepare and send documents via DocuSign, collate enclosures, and manage correspondence and telephone calls.
4. Maintain diaries, schedule deadlines and appointments.
5. Support case handlers with complex administrative and defined billable tasks.
6. Prepare and share bundles for experts, court, and counsel; arrange and manage client expert appointments.
7. Request and manage records, draft instructions to MLR, and assist with case transfers.
8. Handle court e-filing, arrange audio/video for hearings, and manage court listing appointments.
9. Process payments to/from the Court Funds Office, draft and serve witness summons, and track court deadlines.
10. Instruct bills, schedules, and statements of costs; check disbursements and manage legal aid claims.
11. Support claims processes, calculate recovery/profit costs, and manage billing.
12. Draft funding update letters, arrange complex payments, and resolve housekeeping queries.
13. Assist with data collection, internal reporting, professional membership applications, and business development events.
14. Conduct searches, liaise with the Knowledge Team, and arrange translation services.
15. Action items following audits or file reviews.
The position may be performed from one of the following Irwin Mitchell office locations: London, Bristol, Southampton, Birmingham, Sheffield, or Leeds.
The role is hybrid, with a minimum of 2 days per week on site.
About You
16. Demonstrated experience as a PA, EA or Admin Assistant
17. Demonstrated experience in the legal sector
18. An understanding or experience of Personal Injury and the legal PI process
19. A team player with integrity, diplomacy, and a commitment to quality.
20. Able to work under pressure and with confidentiality and discretion.
21. Skilled in typing accuracy and speed, Microsoft Office, and legal IT systems.
22. Organised, detail-oriented, and able to build effective working relationships.
23. Problem-solving, with strong time management and communication skills.
24. Experience with firm policies, expense systems, and financial approvals is desirable.
