Position Overview Ithaca Energy is accepting applications for the position of Executive Assistant located in our Aberdeen Office. The Executive Assistant will provide support to the members of the Executive Team and to the Board of Ithaca Energy. Responsibilities Diary management for the Executive Team, including: Diary management and planning to effectively manage time Extensive arranging and rescheduling internal external meetings Arranging external meetings and interfacing with external contacts Collating questions for Bi-Weekly Team meetings Scheduling of weekly, monthly meetings for the EVP’s & their teams Managing OEUK & NSTA in coming meetings. Assist with the following: Documenting hospitality invitations via the Gifts & Entertainment Disclosure Tool Maintain Vacation/business travel tracker Arrange catering for internal meetings. Travel: Arrange travel for Executive team Check the weekly travel agent Travel Report against travel bookings made, and approving subsequent invoices in the finance system. Ad hoc as and when required: Support to direct reports Executive Team members, as required Arrange Instant R&A Amazon Gift Vouchers as required Arrange and assist with Team social events and Team Building sessions Book conference places Coordinate events on behalf of the Executive Team Provide general administration support as required. Qualifications & Experience High level of proficiency in Microsoft Applications in particular: Word; Excel and PowerPoint Excellent communication (both wrtten/oral) and interpersonal skills are critical to this role as the incumbent must be able to engage with internal and external stakeholders at the highest level Proven track record in a similar role with appreciation of, and compliance with the highest levels of confidentiality. Incumbent must use their judgement, exercise discretion and assume a high level of responsibility in prioritising work tasks and issues.
