Sopher + Co is looking for an experienced Company Secretarial Assistant to join our team in Borehamwood. You will be Responsible for providing support to the Company Secretarial department to ensure all Sopher + Co secretariat, corporate governance and assurance functions are completed effectively and efficiently.
Your duties will include, but are not limited to:
Scanning and filing various internal documents within VC and company secretarial software
Monthly reminders for the whole team - chasing clients for outstanding documents on a monthly basis
Assisting with the preparing of confirmation statements, sending to client via post/e-mail/portal.
Assisting with the preparation of dividend paperwork and minutes for accounts team
Preparing various Companies House forms i.e. change of address, change of director, persons with significant control, relevant legal entities, etc. sending to client via post/e-mail/portal and filing at Companies House
Preparing various minutes following Manager's instructions
Company incorporations using Diligent, preparing formation packs to send to client
Assisting with dormant accounts preparation
Obtain Money Laundering for formation clients, chase/remind clients as necessary
Preparing fee notes for the team and sending to client
Keeping Statutory Books/Records up to date
Setting new clients up on company secretarial software
Dealing with client queries via telephone and e-mail
Dealing with manager queries via telephone and e-mail
Sending daily Companies House reminders to managers/partners re filing deadlines
Setting up Reminders and Following clients on Companies House for new and existing clients
Form 42 - keeping this up to date via CCH on a monthly basis and running annual list for admin department to produce e-mails.
Registered Office schedule - keeping this up to date on a monthly basis and running annual list for admin department to produce bills.
Any ad hoc duties as directed by Manager/Director
About you
We'll need you to have a keen eye for detail, teamed with the ability to spot any inaccuracies or duplications and provide resolutions. Efficiency and accuracy are key, as well as exceptional interpersonal skills, effective communication, and the ability to work to tight deadlines.
You will also have/be:
Proficient in CCH, and other company secretarial software packages.
Advanced skills in Excel and other Microsoft Office applications.
Experience with Virtual Cabinet and Diligent would be advantageous
Strong written and verbal communication skills, with attention to detail.
Strong planning and time management skills.
Clear communication and presentation abilities.
Ability to apply and expand expertise.
Delivering results and meeting client expectations.
Strong teamwork and collaboration skills.
Practical hands-on experience via a legal services or accountancy practice firm and have the relevant work history for the role
Abilities of working within the realms of strict confidentiality at all times
