The Administrative Assistant will provide comprehensive and efficient administrative support to the Medical & Technical Division of Estate Services (EBME). The postholder will ensure accurate maintenance of records, effective coordination of medical equipment servicing and repairs, and delivery of high-quality administrative support to service users, engineers, contractors, and colleagues. Key Responsibilities Receive and log medical equipment faults, redirecting as appropriate. Maintain and update electronic systems for archiving service/test reports and tracking overdue servicing. Liaise with service engineers, contractors, and users to schedule equipment servicing and coordinate fault reporting. Support compliance with service visit schedules, highlighting non-compliance to the Head of Service. Provide reports on equipment status to ward managers, heads of department, and equipment controllers. Operate e-Quip (or similar system) for monitoring service maintenance and repairs. Process invoices, requisitions, and orders through finance systems. Assist with collation of financial information (e.g., annual maintenance costs). Maintain accurate asset registers, including labelling and recording of equipment. Provide general administrative support including minute taking, mail handling, ordering supplies, filing, and data entry. Liaise with community teams regarding medical equipment use in the community. Support setting up service/maintenance contracts under the direction of the Head of Service. Provide cover for colleagues in the Estates Admin team when required. Travel to other hospital sites as necessary. Essential Criteria 4 GCSEs (Grades AC) including English Language and Maths, or equivalent/higher qualification, and at least 1 years clerical/administrative experience. OR 2 years clerical/administrative experience. Experience using Microsoft Word and Excel. Ability to work effectively as part of a team. Strong organisational skills with the ability to prioritise workload. Good communication skills (written and verbal).
