Job Overview
Implement an effective scheduling service for all works completed on the contract. Assist with the compliance of all relevant statutory and regulatory obligations, ensuring competence and performance of external resources and maintain assurance of compliance for their assets. Ensure statutory maintenance activities are carried out in accordance with GSK and contractual requirements. Ensure the maintenance planning system is kept up to date. Communicate with the customer to ensure maintenance is appropriately scheduled.
Main Duties
* Ensure compliance with the end to end scheduling process.
* Ensure that work is planned as far enough in advance so it does not need to be rearranged and the work placed on hold.
* Liaise with the building occupants to coordinate access to areas as part of the work scheduling process.
* Have the knowledge to know the labour/ contractor resource required to complete the relevant work order.
* Ensure any work orders are closed down in the maintenance system in a timely manner and in line with any SLAs.
* Support with the end to end change control process where required.
* Make sure paperwork is effectively managed and archiving is kept up to date at all times.
* Proactively report any data inaccuracies to the data system expert for correcting.
* Proactively report any labour resource issues to the relevant supervisor.
* Ensure all corrective and reactive work orders are managed and subcontractors are scheduled in accordance with the other schedulers in the team.
* Support your scheduling buddy and cover them in periods of absence noting you may not take annual leave at the same time.
* Coordinate, plan and track all activities feeding into the maintenance planning system for all planned and corrective activities in a timely manner such that events do not go overdue.
* Request quotes for any corrective and remedial works.
* Work with the Mitie Site Finance Lead to close out chargeable work orders / quotes.
* Maintain a structured filing system within the logbook structure, including purchase orders, qualifications, SLAs and maintenance and remedial reports.
* Support maintaining for Critical Spares register.
* Support maintaining the Mitie technical equipment register.
* Complete all paperwork required for EWP's relating to engineering activities.

* Understand of a CAFM system, such as EAM, MERP, SAP, Maximo.
* Relevant experience in a Planning role using business in-house systems together with Microsoft packages.
* A knowledge of the hard services and facilities management sectors is desirable.
* Good understanding of statutory requirements in a technical environment.
* Understanding of risk management and HSE.
