Admin and Facilities Assistant (Part Time, 20 Hours)
Role Purpose:
Chess Dynamics is an established leading Design & Manufacturing business, with several sites across the UK. Key Responsibilities:
* To be the point of contact for all incoming calls and the first point of contact for visitors.
* Booking and scheduling all meeting rooms, and organising any catering requirements.
* Issuing visitor & contractor passes and managing their access where required
* Managing the pool car diaries.
* Manage admin email inbox for booking meeting rooms, pool cars and refreshments.
* Point of cover for UK company travel with travel partner.
* Purchasing stationery and sundry items, i.e. Chess branded clothing, stationery supplies for staff kitchens, cleaning materials, office furniture and other sundry items.
* Provide administrative support to the business as and when required
* Participate in the organising of Company charity events where necessary including charity coffee mornings and cake sales
* Ensuring all meeting rooms and reception areas are presentable at all times.
* As you will hold a privileged position within the company you will have access to information that must remain private and confidential at all times.
* Carry out your responsibilities to the best of your ability, quickly, efficiently & methodically
* Adhere to the company's procedures, policies and goals.
* Ensure at all times that Health and Safety Regulations and related guidelines are followed.
* Ensure that all procedures are followed as specified in the Quality Manual.
* Ensure that all documentation related to your work is kept accurate and up to date in accordance with BS EN9001.
* Work in a conscientious and safe manner at all times, with due consideration of other personnel.
* Answer all correspondence in a polite and courteous manner.
* Occasional requirement to cover holiday and sickness.
Skills & Experience
Personal Attributes
* Previous experience in a similar Office Administration role is desirable
* Possess the ability to build excellent relationships and work as a team.
* Trustworthy and confidential with sensitive company information.
* Attention to detail is important, along with good communication skills (written and verbal).
* Excellent organisational skills with the ability to prioritise workloads.
* Ability to work unsupervised.

Security Clearance Requirements:
Due to the nature of our business, our staff need to be able to obtain UK Security Clearance as a mandated requirement. Therefore, if successful, you will need to provide proof of identity, employment history and right to work in the UK, along with proof of UK residency for at least five years.
