Job Description
3. Provide friendly, professional front‑of‑house reception services, greeting residents, visitors and contractors
4. Act as a first point of contact for tenant queries, including repairs, damp and mould, access needs and follow‑up questions
5. Log repairs accurately and schedule work for in‑house operatives and external contractors
6. Manage appointment calendars and diaries, ensuring efficient use of available time slots
7. Support residents in booking inspections, surveys, compliance checks and post‑works visits
8. Maintain accurate communication logs and databases
9. Handle calls, emails and walk‑in enquiries with empathy and professionalism
10. Assist with general admin including invoice support, trackers, reports and documentation
11. Monitor progress of works and follow up where necessary to ensure completion
12. Collaborate with the property services team to support smooth day‑to‑day operations
The Successful Applicant
A successful Receptionist should have:
13. Experienced in front‑of‑house, reception or high‑volume customer service roles
14. Background in housing, property, repairs or scheduling (essential)
15. Confident scheduling operatives, managing diaries and coordinating contractors
16. Strong communication and people skills, with the ability to remain calm and helpful
17. Comfortable dealing with sensitive issues such as damp, mould and disrepair queries
18. Excellent attention to detail, with strong administrative discipline
19. Proficient in Microsoft Office, especially Excel
20. Positive, solutions‑focused and able to manage competing priorities
21. A team player with empathy, resilience and a commitment to resident service
