Job title: Health & Safety and Training & Competence Administrator
Post Term: Full Time
Reports to: Health & Safety Manager
(day to day) and to the Board of Directors
Responsibilities and duties
Systems and database management
* Upkeep of Audit registers in relation to Health & Safety documents distributed to team members by Health & Safety Manager.
* Upkeep and organisation of engineer stock distribution levels, co-ordinating company fleet vehicle registers, recognising expired equipment testing dates, liaison with Health and Safety Manager of outstanding requirements.
* Upkeep of Training Competency spreadsheets; recognising expired certificates for all staff and advising Training and Competence Manager of outstanding requirements.
* Providing support to Training & Competence Manager in relation to the external industry recognised qualifications for field based team members.
* Preparation of service RAM's and SSOW for approval and distribution to customers by Health & Safety Manager.
* First point of contact for non-conformance incidents, liaison with Health & Safety Manager for investigation and resolutions.
* Assist in preparing for audits, including the recording, tracking and completion of associated actions/non-conformance resolution.
* Provide administration support to Health and Safety Manager and Training and Competence Manager where necessary.
General administration
* Carry out various daily administrative tasks as requested and deal with various forms of communication, including letters, spreadsheets, emails and filing.
* Complete any further general administrative tasks as required.
Communications
* Direct calls and respond to queries, taking messages where applicable.
Required skill set
* Outstanding written and verbal communication skills
* Experience of working in a busy office environment and have the ability to manage your workload
* Microsoft Office experience essential
* Outstanding literacy skills with excellent accuracy and attention to detail
* Ability to manage high volume workloads with ability to organise logically and methodically
* Highly motivated with a track record of exceeding expectations
Qualifications and Key Competencies
* Excellent analytical and problem-solving skills.
* Strong communication and interpersonal skills.
* Certification in Occupational Health and Safety (e.g. IOSH) is highly desirable or desire to work towards.
