Job Title: HR and Office Administrator Graduate
Location: Castlebar (onsite)
Salary: €30-35k per annum
Summary:
This position is essential for ensuring the efficient day-to-day operations of the office, reporting directly to the Operations Manager. The role combines administrative duties with HR responsibilities, making it ideal for a recent graduate or early-career HR professional looking to grow their expertise in human resources and office management.
Responsibilities:
Oversee employee attendance and time management using relevant systems, ensuring compliance with organizational policies.
Actively participate in the recruitment process, including managing recruitment platforms, assisting in candidate selection and interviews, handling all communication, and issuing employment agreements and contracts.
Support recruitment efforts for international employees, including managing work permits, residency applications, and remote interviews.
Organize and manage the onboarding and induction programs for new hires.
Provide support for offboarding processes, including conducting exit interviews for departing employees.
Build and maintain partnerships with educational institutions for scholarships, internships, work placements, and related initiatives.
Conduct reference checks to validate candidate information during recruitment.
Deliver high-quality administrative support to ensure the smooth functioning of daily office activities, such as managing office supplies, handling mail, and responding to sponsorship requests.
Coordinate and schedule meetings, bookings, and similar arrangements for internal and external stakeholders.
Manage incoming calls, messages, mail, and other correspondence efficiently.
Welcome and assist visitors, clients, and suppliers upon arrival at the premises.
Arrange travel plans, including booking accommodations, flights, and meeting schedules, ensuring all logistics run seamlessly.
Maintain shared office areas such as the coffee station, canteen, and meeting rooms to ensure they are clean, well-stocked, and presentable.
Liaise with external service providers responsible for deliveries, hygiene supplies, coffee machine upkeep, and other shared facilities.
Update and manage notice boards, ensuring displayed information is current and relevant.
Prepare and distribute regular communications to keep staff informed and engaged.
Assist with organizational projects and events as needed, collaborating with other team members.
Schedule routine checks for first aid kits, ensuring timely restocking of supplies when necessary.
Support learning and development initiatives as required.
Perform additional clerical and administrative duties as needed to support the office and organizational needs.
Requirements:
Fully onsite role 5 days per week
Require a qualification in Human Resources or Business with a major in HR practices
Some experience gained or held in SME's is desirableKSGalway
