The Role
At our Weymouth support centre, we are seeking a dedicated Risk & Compliance Assistant to join our Risk and Compliance team. This permanent, hybrid role is integral to supporting the business in ensuring compliance with our company policies and managing risk and compliance within our supply chain. The position primarily focuses on our purchase-to-pay process, overseeing our SAP purchase order process, and working closely with the business to ensure adherence to our Group Procurement and Supplier Management policies.
WHAT YOU’LL BE DOING
Purchase Orders
* Managing exceptions and liaise with business to correct including invoices received without a PO quoted
* Managing PO closure and monitor PO balances to support Finance with accounting requirements
* Action variation orders and requests for amendment (ensuring they are authorised in accordance with Group Delegated Levels of Authority)
* Manage system approvals, escalations, support with match exceptions, receipting and issues that require resolution
* Ensure accuracy of data (users, suppliers etc)
* Provide guidance and training to internal users on Procurement policy and use of P2P system (face to face/over the phone or via teams)
* Maintain registry of preferred supplier list
* Manage initial registration of suppliers ensuring correct completion and carrying out basic company checks
* Facilitate log of new suppliers and set up within SLA
* Facilitate progression of non-standard payment terms approvals
* Working with the relevant teams, ensure suppliers are terminated inline with our contracts and all required due diligence questionnaires (eg Modern Slavery, Supplier Security) are sent to new suppliers.
Reporting
* Manage reporting in respect of Purchase Orders and Exceptions
* Ensure closure reports are issued quarterly to all requesters and Finance BP’s
* Prepare ad-hoc reports on request from business
* Supporting compliance reporting
* Administer Purchasing and PO Admin email accounts ensuring all emails received have same day acknowledgement as a minimum standard
Support Project Work within Risk & Compliance
* Provide supports in delivering key projects within the team as agreed with Line Manager
* Provide cover to Risk & Compliance colleagues during periods of absence
