The role provides high-level secretarial and administrative support to the Women's Services Senior Leadership Team within Betsi Cadwaladr University Health Board, ensuring the smooth and efficient operation of the service.
A key responsibility includes the proactive management of the Director's diary, coordinating, scheduling, and rescheduling appointments to support effective time management and organisational priorities.
The post holder will act as the point of contact for the Director of Women's Services and the wider team, handling all incoming telephone calls, emails, correspondence, and in‑person enquiries.
Responsibilities
* Serve as the first point of contact for the Director of Women's Services and wider team by telephone, e‑mail, and correspondence or for visitors.
* Provide advice on a wide range of matters related to the work of the Director and the team, resolving issues or referring them to the most appropriate person when the Director is absent.
* Schedule and arrange meetings, including compiling agendas and transcribing formal minutes.
* Manage the diary of the Director, including scheduling and rescheduling appointments.
* Arrange travel, meetings and workshops, training events and large conferences, booking venues, speakers, catering, IT systems, and coordinating presentations, design and production of programmes and flyers, promotion, registration of attendees and feedback.
* Monitor the Microsoft Outlook inbox of the Director daily, flag urgent issues and reply on the Director’s behalf where appropriate.
Qualifications & Knowledge
* RSA III / NVQ Level 3 qualification or equivalent.
* Diploma in office administration or equivalent experience.
* Advanced knowledge of word processing, spreadsheet and presentation packages.
* Ability to take minutes accurately.
* Comprehensive knowledge of Windows, Word, Excel and PowerPoint.
Experience
* Experience providing a comprehensive administrative/PA service at a high level.
* Previous experience as an Administrator / PA to an Executive Director or equivalent.
* Previous experience working within the NHS.
Skills & Attributes
* Ability to work unsupervised and make decisions.
* Welsh language skills are desirable.
* Strong organisational and communication skills.

Salary
£28,819 to £31,626 per annum pro rata
