We are looking to appoint a part time Receptionist / Administrator (Term time ) The position is for 25 hours per week - 5 days per week, Monday - Friday 10am-3pm.
The role is based in the busy school office, which is the first point of contact for parents either by telephone or in person.
Responsibilities will include but are not limited to.
* Attendance, Registration and Pupil Absence Monitoring Working with the SMT Member responsible for pupil attendance:
* To ensure staff complete registers on time and accurately, and WCBS updated
* To ensure that absence requests are managed appropriately through MSP, and distribution to staff as appropriate.
* To provide SMT with attendance data to enable effective absence management in line with school policy, and safeguarding procedures. Office Management
* To collate and distribute as appropriate the SMT Duty Officer rota.
* To manage information received in the School Office To maintain the School Office ensuring it remains tidy and is an efficient working environment.
* Together with the Head's PA, to ensure continuous cover in the office throughout the year, lunch times, sickness and at agreed time during the school closure days.
* To ensure that the front of house gives the very best impression at all times.
* To have a working knowledge of all office tasks in case of emergencies including fire drills, and lockdown procedures.
* To manage the school stationery and its budget working with staff to collate stationery orders and furniture orders, obtain best value for bulk orders and distribute to staff as appropriate.
* To ensure the admin folder, detailing office tasks and procedures, is kept relevant and up to date.
* To attend Operations Meetings and sharing information as appropriate.
* To ensure all contact files (paper and digital) are relevant and up to date.
* To manage incoming and outgoing mail, including the administration of the franking machine.
* To update MSP and WCBS with pupil and parent data and user details including medical information, contact details etc.
* To respond to parent queries within 24 hours and phone calls within three rings, and proactively managing communications into the School Office to reach a resolution prior to passing messages on to other departments Site Administration
* To set up and distribution of security fobs as appropriate.
* To collate and distribute as appropriate the SMT Duty Officer rota.
* To prepare, update and maintain the staff fire evacuation list and first aider list, and lead on the taking of staff registers in the event of a fire drill. Extended Provision
* To manage daily attendance lists for breakfast club, sports, after school clubs and teas, activities, minibus and late rooms and deal with queries raised by parents
* To provide support across all departments within the administrative team. Pupil Data and Year End
* To control of the School's database and entering pupil information and annual school lists
* To update the Forms section of the Transfer Tables and allocating pupils into the correct forms for the next academic year.
* To create new form codes and removing last years
* To set up Activity Groups and registers as appropriate
* To assist the Head's PA with the scanning and uploading of pupil files into the admin folder First Aid Administration and Support
* To cover for the School Nurse at busy times to include the administering of first aid as required
* To assist with the input of first aid forms on to WCBS The Office Administrator has responsibility for -Welcoming, signing in, and escorting of visitors to their destination. Dealing with pupil problems Responding to emails in a timely manner
Ensuring that telephone calls are dealt with in an efficient and courteous manner. Providing administrative assistance for school events Responding to ad hoc requests from staff Assisting with the safe evacuation procedure of pupils, staff and visitors Maintaining efficient filing of information in hard or electronic copy General photocopying Filing and shredding Maintaining efficient filing of information in hard and/or electronic copy General office assistance as required by the School as agreed by the Line Manager
