Recruitment Admin Coordinator (Part-Time, ~8-10 hours/Week, London-Based)
About the Work
We are a newly established charitable foundation in London expanding our team over the coming months. We are looking for an experienced recruitment coordinator to manage the administrative backbone of our hiring process on a part-time basis, approximately 8-10 hours per week. The engagement will start with a short initial period to establish ways of working, with potential to extend on an ongoing basis as our hiring activity grows. The right person will be highly organised, an excellent written communicator, and comfortable representing a professional brand in candidate-facing correspondence.
Location requirement
This engagement is open to candidates based in London or the surrounding area only. Occasional in-person attendance at our London office may be required.
Key Deliverables
1. Job post management — Post and maintain active job listings on LinkedIn (or other channels) using copy and visuals we provide. Refresh, edit, and re-promote posts as needed. Track applicant volume per role.
2. CV intake and triage — Monitor incoming applications across all recruitment channels. Maintain a single consolidated tracker (Google Sheets or Excel) with candidate name, role, source, application date, CV link, and status. Flag candidates that clearly do not meet stated criteria for our review (e.g., education background, visa status, location); pass through all reasonable candidates.
3. Interview scheduling — Coordinate first- and second-round interviews between candidates and our hiring team. Send calendar invites, manage rescheduling, and confirm all logistics 24 hours in advance.
4. Candidate correspondence — Send acknowledgement, scheduling, and rejection emails using templates we will provide. Maintain a warm, professional tone consistent with our brand. All outbound emails to be sent from a Foundation address we will set up.
5. Weekly status report — Provide a short written update each Friday summarising application volume, interviews scheduled and completed, and any candidate issues requiring attention.
Technical Requirements
· Output format(s): Google Sheets or Excel for tracker; standard email correspondence
· Software compatibility: Google Workspace and Microsoft Office 365
· Other specs: Must be available during UK business hours and able to respond to candidates within one business day; based in London or surrounding area
· Assets we will provide: Job descriptions, email templates, brand-aligned LinkedIn post copy, Foundation email account, access to shared candidate tracker

Salary and others:
· £15-20 per hour, 8-10 hours per week.
· This is a part-time contracting role and successful applicants should handles his/her own tax and related matters.
· There may be opportunities to convert to a full-time role
