Main duties of the job

As Site Team Leader, you will be the driving force behind the effective day-to-day running of the practice. You'll lead a multidisciplinary team, support service development, and ensure operational standards meet the evolving needs of patients and staff alike. Your leadership will directly contribute to the delivery of high-quality, efficient healthcare services.

Job responsibilities

1. Job Role & Purpose

The primary purpose of this role is to ensure that systems, structures, and processes in place are delivering the smooth and efficient day-to-day running of the site. You will be directly responsible for supporting Site Managers and their colleagues to ensure we deliver excellent services and care for our patients, deputising for their Site Manager when required.

2. Key Duties & Responsibilities

With strong organisational and communication skills, your responsibilities will include supporting and covering the responsibilities of the Site Manager, which include:

* Providing cover and assistance to the Patient Coordinators as and when required
* Moving resources in the moment to ensure contact volume is met with the correct level of resource
* Ensuring all site daily tasks are carried out, including but not limited to:
o Ensuring that the site dashboard is up to date and communicated to clinicians and allocated to a colleague if not on site
o Reassigning Bloods, Tasks, and Letters
* Maintaining excellent communication across the site and with others in SCGP
* Helping the Service Delivery Manager implement new processes and procedures and supporting the team during the implementation phase
* Assisting the Service Delivery Manager to prepare and deliver training and updates for the PLTs as needed
* Taking an active and administrative role in site meetings
* Assisting Patient Coordinators with their roles, providing help and support, assisting with training, and acting on feedback from colleagues
* Promoting and demonstrating excellent customer service
* Supporting colleagues to maintain an efficient, hardworking, and friendly working environment
* Handling verbal complaints and assisting our Governance and Complaints Lead with formal complaints
* Anticipating potential problems such as staff shortages, appointment, and room availability issues
* Providing reception/telephone cover when required
* Assisting the Procurement Lead with stock ordering and monitoring stock levels
* Overseeing the upkeep of noticeboards and reception/waiting areas to ensure information is current and housekeeping standards are maintained
* Leading induction and training of new staff
* Ensuring insurance requests are administered and resolved within agreed timeframes
* Ensuring data requests from the Service Delivery team are completed promptly

3. Performance Standards

* Leading by example and acting as a role model for colleagues
* Completing daily tasks within agreed timeframes
* Participating actively in site, team, and group meetings
* Maintaining patient response times within agreed timeframes, including call waiting, email, and enquiry response times
* Ensuring site operates efficiently with clear and understood communications in various formats

Patients entrust us with sensitive information. All staff must respect privacy and act appropriately, adhering to SCGP policies on confidentiality and data protection.

5. Health & Safety

Promoting and maintaining health, safety, and security according to SCGP policies, including using security systems, identifying risks, undertaking training, and maintaining cleanliness and safety standards.

Person Specification


Experience

* Proven leadership experience, preferably in healthcare or similar fast-paced settings
* Excellent interpersonal and communication skills
* A collaborative and motivational leadership style
* Strong organisational and problem-solving abilities
* Confidence in managing change and implementing new processes
* Experience in primary care
* Professionalism, reliability, and integrity
* Understanding of CQC inspection criteria
* Experience with SystmOne
* Resilience in handling challenging tasks
* Knowledge of GDPR principles
* Understanding health and safety implications for a site
* Experience running training workshops
* Understanding of QOF and its importance
