Great role working for MBNL on an initial 6-month contract with 2 days of hybrid working each week in the office.
The Health, Safety, Quality and Environment team, within the People team, manages Health and Safety, Quality, and Environmental compliance for all work on Radio Access Network sites used by Three and BT-EE.
Reporting directly to the Head of Quality Assurance and Operational Excellence, the Document Coordinator will collaborate closely with the Document Controller and the wider business to develop and deliver MBNL’s Document Management System (DMS).
The primary focus will be on external document publication, ensuring legacy documentation is properly managed and accessible as needed. The role acts as a point of contact for providing documentation to external DMS repositories and ensuring internal documentation meets expectations.
Key responsibilities include:
* Collaborating with document owners, leads, and SMEs to manage existing documentation on external DMS.
* Aligning document metadata in external DMS with internal systems and maintaining document lifecycle.
* Working with the Document Controller and external DMS administrators to enhance DMS functionality and implement archiving processes.
* Supporting updates, reviews, approvals, releases, and archiving of documentation on external DMS.
* Ensuring consistency and control of documentation during publishing by managing metadata.
* Guiding users in accessing the external DMS.
* Maintaining accurate records and logs for easy retrieval and audits.
* Resolving document-related issues or discrepancies.
Ideal candidate profile:
* Knowledge of DMS and application of metadata for library management.
* Understanding of document management principles and approaches.
* Strong IT skills, including Microsoft 365 and SharePoint.
* Ability to coordinate with multiple stakeholders with conflicting priorities.
Desirable qualifications:
* Bachelor’s degree in Business Administration or IT Systems.
* Experience with ISO9001 and ISO45001 certified systems.
* Experience in construction or asset management industries, with awareness of CDM regulations.
