Key Responsibilities
* Administrative Support: Manage attorney time entries, process expense reports, schedule conference calls, and arrange travel using web-based applications. Conduct online research and handle various project-based tasks, including providing personal assistance as needed.
* Cross-Department Collaboration: Work daily with various departments to ensure seamless support for our legal teams, including services like accounting, general services, and meeting coordination.
* Legal Document Management: Use software (Microsoft Office 2016, PowerPoint, Excel, Adobe Acrobat, etc.) to prepare, format, and finalise documents with high accuracy. Organize and maintain paper and electronic files in line with Firm policies, using internal systems.
* Client Service and Teamwork: Act as a team player, assisting the Secretarial team to meet objectives. Build strong relationships with peers, attorneys, and clients, and proactively anticipate needs.
* Professionalism: Display professionalism and discretion in all interactions. Adhere to Firm policies and handle sensitive information confidentially.
Qualifications
* Strong Communicator: Excellent written and verbal skills with a customer-focused approach.
* Organized and Detail-Oriented: Skilled in managing multiple priorities with strong attention to detail and adaptability.
* Technology: Proficiency in MS Word, PowerPoint, Excel, and Adobe Acrobat preferred; willingness to learn new software.
* Dependable: Reliable attendance and punctuality, with flexibility for occasional overtime and a team-oriented attitude.
