The successful applicant will:
1. Organise office operations and procedures, control and deal with all correspondence, design and maintain filing systems, review and approve supply requisitions, and assign and monitor various other clerical functions.
2. Approve staff timesheets/shifts, make DBS checks, procure references for new staff, and work closely with HR to ensure timely staffing.
3. Ensure staff are paid accurately by working with the finance team and payroll bureaus.
4. Create and maintain staff and resident files, including contracts and admission documents.
5. Maintain staff training records and monitor staff leave and sickness.
6. Assist in boosting and maintaining occupancy by following up on enquiries and conducting show-arounds.
7. Verify received orders and invoices against actual shifts worked.
8. Manage petty cash and handle financial tasks supporting the home, including invoicing and liaising with finance and external agencies.
9. Support meetings, prepare minutes, and handle internal/external queries.
10. Book medical appointments and manage staff diaries.
11. Provide a professional, welcoming, and friendly presence to visitors, residents, and via communication channels.
12. Proficiently use Microsoft Teams and other Office applications.
13. Support managers with additional administrative duties.

This role is ideal for an experienced administrator or bookkeeper seeking managerial development or a return-to-work opportunity. The candidate should be highly organized, proactive, a problem solver, and possess excellent communication skills, both verbal and written, to support our management and care teams in delivering exceptional resident care.
