Staffpower Group are looking for an Office Administrator to join our client based in Newcastle upon Tyne, a specialist engineering company providing diesel engine services, fuel management solutions, and OEM parts to the marine, offshore, and industrial sectors. Known for improving energy efficiency and reducing emissions, they offer global support through expert engineers and advanced workshop facilities. Duties include: Provide administrative support across departments as needed, including the preparation of monthly reports for the sales team. Maintain electronic and manual filing systems, including the scanning and filing of job packs. Answer incoming phone calls and direct inquiries to the appropriate person or department. Assist with amendments and updates to QA documentation. Perform general ad hoc administrative duties aligned with business requirements. Format and prepare service reports for customers, ensuring they are sent with sales invoices within 710 days of job completion. Process calibration certificates and maintain the calibration register. Complete Part E returns on Waste Transfer Notes and update the quarterly returns spreadsheet. Monitor updates to the dry dock planner to ensure accuracy. Check resource bookings on the schedule board against the marine movement sheet for consistency. Support training coordination by gathering information for booking courses and offshore survival medicals, and update the training matrix accordingly. Make travel and hotel arrangements as requested by the Service Manager. Coordinate the ordering of materials from suppliers for job and project requirements. Monitor vehicle checklist returns and log data accurately. Arrange service, MOTs, and repairs for all company vehicles. Update and maintain the staff holiday and sickness spreadsheet.
