We're looking for a professional and proactive Switchboard Operator / Receptionist to join our Facilities team. This is a key front-of-house role ensuring visitors, staff, and stakeholders enjoy a seamless and positive experience from the moment they walk through our doors. About the Role As the first point of contact for all visitors and callers, you'll manage our busy reception area, handle incoming communications, and support the smooth day-to-day running of office operations. You'll play a crucial part in maintaining a welcoming and professional environment while providing administrative and logistical support to the Facilities Manager. Key Responsibilities Visitor Management Welcome and sign in visitors, issuing badges and maintaining a tidy, professional reception area. Arrange meeting rooms, refreshments, and parking as needed. Support emergency procedures, including visitor safety and evacuation protocols. Communication Handling Manage incoming phone calls and emails, ensuring queries are directed efficiently. Provide friendly and accurate responses to all enquiries. Administration and Document Control Scan, file, and maintain accurate electronic records. Handle post and courier arrangements for incoming and outgoing deliveries. Assist with travel bookings and related documentation. Meeting and Event Support Coordinate meeting room bookings, resolve scheduling conflicts, and ensure rooms are properly equipped. Welcome guests for meetings, ensuring a professional and efficient experience. Staff and Facilities Support Issue staff badges and assist with induction of new employees. Manage gym bookings, car parking lists, and CCTV monitoring. Provide ad hoc administrative support to the Facilities Manager. Catering and Hospitality Arrange catering and refreshments for internal meetings, board sessions, and senior leadership events. Ensure a high standard of presentation and service. What We're Looking For Education: GCSEs (or equivalent) including English and Maths. Additional administrative qualifications (NVQ, OCR, etc.) are an advantage. Experience: Proven experience in a busy administrative or receptionist role. Experience with office systems, courier bookings, and travel arrangements is desirable. Skills: Excellent written and verbal communication. Strong attention to detail and accuracy. Outstanding organisational and multitasking abilities. Proficiency in Microsoft Office Suite. Professional, approachable, and customer-focused manner.
