Are you looking for an interesting clerical role and to work in a niche environment? We have an exciting opportunity for a candidate to join the team within the IV Suite at the Wrexham Maelor Hospital. The Clerical Officer role is a 30-hour post to provide clerical support to the department 9am-3pm Monday through to Friday.
The Clerical Officer(s) will provide a Front of house service, greeting patients on their arrival to the department and supporting the patient journey runs as smoothly as possible. This will include arranging appointments and processing the outcomes of the outpatient clinics, ensuring patient records are updated accurately, receiving and dispatching of patient case notes, along with other duties to ensure that the department meets all the patient’s needs.
Welsh language skills need to be learnt when appointed to the post.

Responsibilities
* Provide a Front of House service, greeting patients on arrival and supporting the patient journey, including arranging appointments and processing outpatient clinic outcomes.
* Ensure patient records are updated accurately; receive and dispatch patient case notes; undertake other duties to meet patient needs.
* Provide a friendly and comprehensive reception service to all staff and patients visiting the department.
* Undertake efficient reception duties, e.g. answering the phone and receiving people at the reception desk.
* Deal courteously with colleagues and all visitors at all times as per departmental standards.
* Interact with visitors including staff from other areas, company representatives, visiting medical staff and patient relatives.
* Deal with telephone calls and enquiries and relay messages efficiently; process urgent referrals as required.
* Assist with general clerical duties, including distributing incoming mail.
* Be responsible for accurately inputting data onto relevant databases and collate data for clinical audit.
* Collate and distribute clinic lists, liaise with secretaries and other administration staff, and provide an excellent communication system regarding alterations or additions to clinic lists; this may include booking emergencies.
* Print and distribute clinic lists in a timely manner.
* Liaise with the nursing and medical teams to help maintain patient flow.
Qualifications and Skills
* Excellent IT, communication and clerical skills; well organized with meticulous attention to detail; proactive and able to manage own working time effectively.
* Comprehensive working knowledge of Microsoft Office packages.
* High standards of professionalism and a desire to learn.
* Welsh language skills to be learnt when appointed.
* Commitment to maintaining confidentiality at all times.
