Overview of the job
This is a coordination and senior administrative role in the Divisional office, Function / Cluster local offices. The jobholder will provide corporate support office-based activities to support the work of the Divisional and operational teams. They act as an interface between the Hub Manager, Business Manager, colleagues, and partners on various issues. The role reports to the Hub Manager or Business Manager and includes line management responsibilities for administrative staff.
Summary
The purpose of this role is to ensure efficient business support and administrative services are provided. The jobholder supports compliance with health, safety, and fire regulations, acts as liaison for estate issues, manages confidential information, and promotes equality and inclusion.
Responsibilities, Activities & Duties
1. Management Support
o Develop and implement administration systems supporting operational delivery.
o Prepare documentation and maintain registers (e.g., Serious Further Offences, FOI, Accidents, Complaints).
o Manage monetary transactions and maintain related records.
o Act as Vetting Contact Point and monitor travel warrants, bus passes, and purchase orders.
o Represent the Business Manager at meetings and events.
2. Health, Safety & Fire
o Report building issues and coordinate repairs.
o Undertake health and safety risk assessments, fire drills, and ergonomic assessments.
o Act as Cardinus Assessor, First Aider, Fire Warden, and manage related actions.
3. Manage and Develop Staff
o Provide leadership and manage staff development, performance, and diversity issues.
o Contribute to training and support recruitment activities.
4. Communication
o Write reports and participate in meetings.
o Contribute to the management and operation of the division.
5. Performance and Information Management
o Use data to identify trends and improve performance.
o Ensure confidentiality and security of information.
o Support resource deployment and act as Knowledge and Information Liaison Officer.
o Promote pro-social behaviour and align with the values of NPS and HMPPS.
