Job Title: Receptionist (Weekend Team)
Hours of work: Saturday 7.30am – 2.00pm, Sunday 8.00am – 2.00pm (12.5 hours per week)
We are seeking a professional, compassionate, and enthusiastic receptionist to join our fertility clinic. As our receptionist, you will be the first point of contact for our patients and visitors, providing an exceptional service and ensuring a smooth patient flow. Your primary responsibilities will be to greet patients and provide general administrative support to our clinic teams. Your role will play a vital part in creating a welcoming, comfortable, and supportive environment for our patients as they embark on their fertility journey.
As the first person our patients and visitors will see, you will be a key representative of Manchester Fertility, presenting yourself in a manner that reflects the values and standards of our clinic. Our candidate should always act in our clinic and patient's best interests.
Responsibilities:
Patient Reception: Welcome patients and visitors to the clinic in a warm and friendly manner. Maintain a professional and caring demeanour, ensuring patients feel comfortable and supported throughout their visit.
Patient Communication: Answer phone calls and emails promptly, professionally, and courteously. Provide accurate information to patients regarding clinic services, procedures, and general queries (via multiple channels), and display empathy and sensitivity in addressing patient concerns or emotional needs.
Appointment Scheduling: Efficiently manage patient appointments using our electronic booking system.
Patient Information: Accurately collect and verify patient information and input it into our electronic database, managing data according to internal regulations GDPR, always ensuring confidentiality.
Process Payments: Take patients' payments and update patients' records accordingly. Upon admission ensure there is a clear balance and no outstanding invoices
Administrative Support: Organise prescriptions, book taxis, filing, photocopying, and letter typing. Take receipt of all deliveries and distribute accordingly and provide administrative support to other departments as and when required.
Clinic Maintenance: Help maintain a clean, hygienic, and organised reception area at all times, ensuring a comfortable and welcoming patient environment. Coordinate with housekeeping and maintenance staff to address any facility-related issues.
Team Collaboration: Work closely with all departments to ensure a smooth patient journey, collaborating effectively with staff to ensure a seamless patient journey.
Quality Assurance: Adhere to and stay updated with clinic policies and procedures, including privacy and safety regulations and regulatory requirements at all times.

· Experienced and compassionate professional who has a passion for patient-oriented service.
· Excellent telephone and face-to-face and telephone manner.
· Organised and self-motivated with the ability to prioritise workload and multi-task.
· Ability to build rapport with patients and manage different types of situations in a professional and calm manner.
· Ability to maintain confidentiality and handle sensitive information with discretion.
· Excellent time management skills and organisational skills.
· Excellent I.T. skills and the ability to pick up systems quickly.
· Promote and comply with clinic policies and procedures for the well-being of patients, staff and visitors.
· Flexible and adaptable to meet the changing needs of the business.
· Ability to deliver an excellent patient experience and encourage clinic reviews.
Qualifications:
* Educated to GCSE level or equivalent
* Experience in a similar environment and customer/patient facing role.
* Previous administration experience is essential.
