Administrative Assistant

We are looking for an Administrative Assistant to join our Facilities team in our Aberdeen office. In this role, you will provide an enthusiastic, effective and efficient administration service and to ensure that internal and external clients receive a quality service in all respects. You will play a key role in supporting the office with all facilities matters.

This is an entry level role and is suitable for someone looking to start their career within an office environment or will suit someone with previous administration skills. This role is based on site 5 days per week in our Aberdeen office.

You’ll make an impact by:

1. Playing a key role in supporting the office with all facilities and administrative matters
2. Managing meeting room reservations, ensuring room set up, refreshments and catering are as requested and assisting with organisation and setting up of event
3. Monitoring weekly visitors, sharing reports with the building security team
4. Preparing client onboarding documentation, presentations, letter, reports and meeting minutes
5. Screening incoming calls, assisting with general enquiries and managing incoming / outgoing mail for the office
6. Meeting and greeting visitors in the office

7. Able to demonstrate good IT skills and experience with MS Word, MS Excel, MS PowerPoint and related programs
8. Excellent communications skills, both verbal and written and attention to detail
9. Ability to work co-operatively and effectively within the team and the organisation
10. Ability to manage multiple tasks simultaneously, meet deadlines and maintain a high quality of work
11. Flexibility is required and an ability to remain calm under pressure
12. Enthusiasm for client service and delivery
