Salary: £32,000 - £35,000 per annum (depending on experience)
Reporting directly to the CEO
Hours: Full-time, 37.5 hours per week
Contract: Permanent
Location: Newport, South Wales (2 office-based, 3 days remote)

Novira Technologies Limited is seeking a highly organised and proactive Business Support Officer to assist in the day-to-day running of our growing company.

This is a varied and hands-on role supporting both the CEO and the wider business. You will play a key part in ensuring our operations run smoothly across finance administration, supplier management, HR coordination and executive support.

The ideal candidate will be highly structured and comfortable operating in a fast-paced environment. You will have excellent communication and organisational skills, discretion, and the ability to remain calm under pressure. Previous experience in a similar business support or office administration role is essential.
This position would suit someone who takes pride in improving how things work and is keen to contribute to the smooth running and continued growth of the business.

Key Responsibilities
Business & Office Operations
Act as the main point of contact for facilities and workplace-related matters (office and warehouse)
Coordinate office maintenance, utilities, facilities management and external service providers
Oversee building-related administration, including waste management, business rates and utilities
Maintain and update office policies, procedures and records
Order and monitor office supplies and equipment
Manage incoming emails and post, ensuring items are actioned or redirected appropriately
Liaise with suppliers and external partners to ensure smooth day-to-day operations
Support employee inductions in collaboration with Team Leaders
Ensure Health & Safety and compliance standards are maintained across both office and warehouse environments
Coordinate administration of company vehicles, including MOT, tax, insurance, servicing and related documentation

Finance & Accounts Administration
Prepare and collate financial information to support monthly management accounts, liaising with external accountants
Manage accounts payable and receivable
Raise customer invoices and monitor debtor balances
Complete bank reconciliations and support online banking processes
Assist with the setup and management of supplier and vendor systems, including preferred supplier processes for international clients
Support the administration and invoicing of the company's event/meeting space

Executive & Business Support
Provide diary and email management support to the CEO
Coordinate travel arrangements including trains, flights and accommodation
Organise off-site meetings, venues and accommodation
Screen and respond to calls and correspondence where appropriate
Organise and facilitate internal meetings and events, including preparing agendas, minute-taking and tracking follow-up actions
Provide general administrative support across the business
Support ad-hoc projects and operational initiatives as required

HR & Office Coordination
Manage internal administration systems and implement efficient office processes
Act as the first point of contact for HR-related administration queries
Coordinate onboarding for new starters, including documentation and inductions
Maintain employee records and documentation (via BrightHR)
Administer annual leave and absence processes, including tracking holiday requests and sickness records
Ensure confidentiality and professionalism in handling sensitive information

About you
Proven experience in a business support, office management or operations coordination role, with exposure to executive support
Experience supporting HR administration, including onboarding, leave management and maintaining employee records
Strong organisational and time-management skills, with the ability to prioritise effectively in a fast-paced environment
A confident communicator, both written and verbal, able to engage professionally with individuals at all levels
Comfortable managing competing priorities and balancing stakeholder expectations
Strong IT skills, including confident use of Microsoft 365 (Word, Excel, Outlook and PowerPoint)
Discreet and professional when handling sensitive or confidential information
Able to work independently, take ownership of responsibilities and use initiative
Proactive, reliable and adaptable, with a positive and solution-focused attitude
Comfortable working in a small, growing company where responsibilities may evolve over time

Experience (Required)
Minimum of 3-5 years' experience in a business support, office management or operations role
Experience supporting senior leadership
Experience supporting HR administration processes
Experience handling finance administration processes (e.g. invoicing, reconciliations, supplier management)
