Job Summary

Admin Assistant role offering direct admin support to members of the clinical team. The role is open at this stage only to colleagues currently employed within Kent and Medway NHS Trusts and the Kent and Medway Integrated Care Board (ICB). We are an adaptive, cross-functional service, providing support to the department and to the Directorate as a whole. Teamwork, good time-keeping and the ability to adapt to changing needs and deadlines are essential.

As a support service, we adapt to the needs of the service and regularly review ways of working to optimise internal processes. We are looking for someone who can think on their feet and respond to day-to-day circumstances as they arise. Main duties of the job

This role provides direct secretarial and administrative support to our in-patient care, PIC Liaison Service, Main Reception, Management, Consultant Psychiatrist, Lead clinicians and the wider team.


The Successful Candidate Will Work Closely With The Teams

* Providing up-to-date information to the teams and producing simple reports
* Maintaining patient records
* Providing Reception support
* Creation and maintenance of spreadsheets and internal forms within designated timescales
* Maintaining and updating displays
* Scheduling clinical meetings
* Diary and meeting management
* Generic team mailbox monitoring and maintenance and any other administrative duties requested

Job Description

High Cost Area Allowance The High-Cost Area (HCA) allowance, also referred to as London Weighting, is a payment to employees who work in London and the surrounding areas. This post is based in Dartford, Gravesham or Swanley, and the successful applicant will receive an additional payment each month: 5% of basic salary, subject to a minimum payment of £1,303 per year and a maximum payment of £2,198 per year (paid monthly). Qualifications

Essential

* GCSE (or equivalent) Minimum Grade 4 or above (A-C) in Maths, English, ICT

Desirable

* Business Admin NVQ or Equivalent

Experience

Essential

* MS Word and Excel
* MS Teams or equivalent Video Conferencing Software
* Keeping to Deadlines
* Diary Management
* File/Record Keeping (Digital and Physical)
* Office/Reception Experience
* Customer Service

Desirable

* Experience of working with people with severe mental health
* Use of CRM Systems or databases
* Complaints handling and dealing with difficult situations
