We are seeking a friendly, hardworking, dedicated and detail-oriented Medical Secretary to join our healthcare team. The ideal candidate will play a crucial role in maintaining patient records, providing administrative support, and ensuring the smooth operation of the medical office. Experience in administrative/medical secretarial and office tasks is preferred, but training can be given. Experience with SystmOne is desirable.
Main duties of the job
Responsibilities:
* To provide an efficient audio, copy typing and word processing service for GPs as required. This includes the typing of letters, reports, patient referrals, in an accurate manner. Checking Lexacom daily for dictation requests.
* Checking Task list for new referrals and those awaiting results or reports
* Checking workflow and processing incoming letters
* Checking eRS worklist for rejections and redirections and deal with all related queries from patients and hospitals
* Update and maintain accurate patient records.
* Collaborate with the primary healthcare team to provide necessary administrative support.
* Coordinate with hospital departments to ensure timely handling of urgent or missing results.
* To receive incoming and initiate outgoing telephone calls to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
* Willing to provide overtime cover for holiday and sickness if required.
* Perform any other delegated duties relevant to the role.

You will provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
You will have excellent communication skills, a compassionate and friendly nature who can operate in a busy environment with a range of people and professions, as you will be working our clinical and administration teams.
This role is ideal for someone who is highly organised and an effective communicator who can provide a professional and warm welcome to our patients, ensuring every contact is of the highest quality.
Secretary Responsibilities

* All patient correspondence to hospitals must contain their NHS number.
* To enter referrals and letters onto Excel list for future reference.
* To maintain an up-to-date list of Consultant/secretary/hospital departments contact details on secretarial Excel spreadsheet.
* Entering new or updating referral forms on Systm1 as they come in.
* To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
* To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
* To assist with the gathering of statistics and information when required.
* To provide cover for members of the secretarial team during periods of sickness and annual leave.
* In liaison with the jobholder responsible, maintain adequate supplies of office stationery in order to perform secretarial duties.
* Check nhs.net emails daily and deal with appropriately
* Keep up to date with personal electronic e-learning modules.
