Carbon3 develops, owns and operates AI infrastructure across the UK, powered by renewable energy. Converting legacy industrial and energy sites into modern data-centre facilities, Carbon3 is combining brownfield regeneration opportunities with cleaner, efficient, scalable compute capacity for healthcare, research, finance, enterprise, and public-sector organisations.
We are seeking an experienced and dynamic Personal Assistant, this role provides the central point of control for governance, legal documentation, estates information, and corporate obligations across the Group. You will bring structure, accuracy, and discipline to a fast‑moving environment, ensuring all material documents, dates, risks, and decisions are clearly recorded, tracked, and visible.
Acting as the Group's document controller and operational governance lead, you will maintain live dashboards, manage key deadlines, convert informal inputs into structured records, and escalate issues calmly and appropriately. You will work closely with internal teams, external advisors, and senior leadership to keep information accurate and actionable.
Alongside this, you will deliver seamless executive support—managing diaries, meetings, and travel, and preparing concise briefing materials that enable informed decision‑making. The role requires someone highly organised, discreet, and capable of operating independently while keeping everything that matters under control.
We are open to location but the selected candidate will need to travel to HQ in central London and also occasional travel to other sites in the UK.
Key Responsibilities
Executive Support & Operational Management:
Manage diary, meetings, logistics, and international travel seamlessly.
Prepare briefing notes and structured packs ahead of key meetings and calls.
Operate independently under pressure, providing confidence that nothing important is missed.
Document Control & Governance
Act as the Group Companies document controller and governance lead.
Ensure all material documents are properly logged, version‑controlled, and easily retrievable.
Maintain strict confidentiality across ownership, legal, and strategic matters.
Convert informal discussions and email threads into structured records and actionable tracker entries.
Prevent silent drift, missed deadlines, or unmanaged exposure through disciplined oversight and follow‑up.
Tracking, Monitoring & Reporting
Maintain structured, live dashboards covering estates, leases, legal matters, corporate obligations, and key dates.
Track lease events, litigation milestones, Companies House filings, covenants, and contractual obligations.
Produce a concise weekly control summary highlighting material risks, issues, and decisions required.
Filter noise and surface only what genuinely requires leadership attention.
Escalate calmly, clearly, and without unnecessary drama.
Stakeholder Coordination & Information Flow
Chase internal teams, lawyers, and advisors to keep records, trackers, and dashboards accurate and up to date.
Coordinate inputs across the business, ensuring aligned understanding of obligations and timelines.
Act as a reliable control point, ensuring that everything material is visible, recorded, and under control.
Essential Experience
Document & Governance Management:
Proven experience as a Document Controller, Governance Coordinator, or Compliance Administrator.
Strong track record of managing version‑controlled repositories, structured folders, and document governance frameworks.
Experience maintaining and auditing corporate records, including legal documents, leases, contracts, and internal approvals.
Data Tracking & Dashboard Management
Hands‑on experience building and maintaining live dashboards (e.g., Excel, Power BI, Smartsheet, ).
Ability to design structured trackers for leases, litigation, regulatory filings, obligations, and key dates.
Experience turning raw information into clear, actionable summaries.
Legal, Estates, Or Corporate Administration Support
Prior exposure to lease management, property portfolios, or estates teams.
Experience supporting legal teams with document control, case timelines, filings, or matter management.
Familiarity with Companies House filings, legal milestones, covenants, and compliance obligations.
Risk & Deadline Management
Demonstrated ability to prevent missed deadlines, drift, or unmanaged risk through diligent follow‑up.
Ability to identify what is material vs. noise, and escalate issues appropriately.
Experience preparing weekly control reports, risk summaries, or operational dashboards.
Communication & Stakeholder Coordination
Skilled at converting informal conversations, meetings, and email threads into structured actions and records.
Experience coordinating with internal teams, external lawyers, and advisors, including persistent but diplomatic follow‑ups.
Calm, clear, professional escalation style.
Executive Support & Operational Control
Experience managing complex diaries, scheduling, and international travel logistics.
Ability to prepare briefing packs, meeting notes, and concise decision summaries.
Confident operating with minimal supervision in a fast‑moving environment.

Demonstrated history of handling sensitive, high‑confidentiality information (ownership matters, legal strategy, corporate governance).
