Blue Arrow is recruiting a Front of House Coordinator to join our clients team based in the Swansea area. Salary: £28,000p.a Hours work: Monday to Friday (hours to be discussed) Contract: Permanent Purpose of the role:- Our client is looking for an energetic, motivated individual to provide a welcoming and professional service to all visitors and to manage the day to day running of the building, its visitors and tenants. Front of House and Reception: * Handle phone calls, emails and enquiries on behalf of the building and serviced office company. * Manage incoming and outgoing post and deliveries. * Maintain the reception and common areas to a high standard (leasing with building manager and cleaning company as necessary). Client and Office Management * Manage client onboarding including office tours, agreements and set up. * Assist in administering serviced office and virtual office agreements, ensuring documentation is accurate and compliant. * Coordinate meeting room bookings and ensure spaces are prepared to appropriate standard. * Handle tenant queries promptly and professionally, maintaining excellent client relationships. * Promote and upsell meeting rooms, additional services and upgrades to maximise revenue. * Assist with tenant communications, newsletters and community building actives. * Ensure office and communal spaces are clean well presentation and maintained in coordination with cleaners/suppliers. Operational Support * Liaise with building manager, cleaners, suppliers, contractors and service providers to ensure smooth building operations. * Maintain office supplies and place orders when required. * Report and follow up on any maintenance or facilities issues. * Support marketing efforts by assisting tours, viewing and promotional activities. * Contribute ideas to improve client services, tenant retention and operational efficiency. Skills & Experience * Strong customer service and client relationship skills. Previous experience in reception, office administration or hospitality or serviced offices preferred. * Excellent organisation and administrative ability with attention to detail. * Confident in handling financial processes (invoices, payments report). * Ability to work independently and take ownership of responsibilities. * Proficient in Microsoft Office Suits, experience with CRM or serviced office software an advantage.
