Do you want to play a key role in supporting the delivery of projects that shape and maintain the Scottish Government's estate?
Workplace Division sits within the Scottish Procurement and Property Directorate (SPPD) and supports the effective operation, improvement and sustainability of government buildings across Scotland. The Business Support Administrator will join the Estates Projects Unit, working collaboratively with colleagues across Facilities Services, Estate Strategy & Planning, and Security & Business Continuity.
As a Business Support Administrator, you will provide vital administrative and financial support to ensure the smooth delivery of estates and move management projects. You will support financial processes, coordinate meetings and administrative activity, and ensure accurate data and reporting to assist project delivery teams in managing budgets, timelines and operational activity.
The estate comprises a wide variety of building types located across approximately 60 sites across mainland Scotland and the islands. This role provides exposure to a large, diverse estate and supports activity critical to maintaining safe, compliant and well‑managed government buildings.

* Provide financial support across the team, ensuring monthly budget returns are completed accurately and on time.
* Process payments and complete monthly reconciliations in collaboration with finance colleagues.
* Organise meetings and events and provide a range of administrative support to assist team delivery.
* Monitor and respond to small and reactive works requests received through the mailbox, and support coordination of move‑management tasks.
* Collate and present information on team wellbeing, and support internal digital communication activity.
* Maintain accurate data and assist in monitoring project progress.

Working pattern
Our standard hours are 35 hours per week and we offer a range of flexible working options depending on the needs of the role. From October 2025, the Scottish Government will require staff in hybrid-compatible roles to work in-person 40% of the time, either in an office or other agreed work location. The role may require travel between Scottish Government sites.
Security checks
Successful candidates must complete the Baseline Personnel Security Standard (BPSS), before they can be appointed. BPSS is comprised of four main pre-employment checks – Identity, Right to work, Employment History and a Criminal Record check (unspent convictions).
