Purpose of the Role
This role is the backbone of our operation, ensuring that every car is fully prepared for sale and that warranty claims are managed quickly, cost-effectively, and transparently. You'll be central to both the vehicle preparation process and warranty administration—two areas that go hand in hand to guarantee customer satisfaction and keep our operations running smoothly.
Key Responsibilities
Vehicle Preparation & Readiness
* Coordinate all aspects of making vehicles sale-ready, including mechanical and cosmetic preparation.
* Supervise drivers responsible for vehicle collections and deliveries, and occasionally step in yourself when needed—everyone mucks in here.
* Track and monitor the progress of vehicles through their preparation stages to meet deadlines.
* Actively source alternative suppliers and parts to reduce preparation costs without compromising quality.
* Maintain the vehicle preparation tracking sheet, keeping statuses accurate and up to date.
Warranty Administration
* Keep an accurate warranty register for all sold vehicles, including durations, limits, and claims.
* Handle warranty claims efficiently, from the initial response through to resolution.
* Proactively source cheaper, high-quality parts and services for warranty repairs.
* Arrange bookings for repairs at approved garages under the Drivers Gallery Guarantee.
* Communicate clearly with customers throughout the claims process, keeping them updated on progress and timelines.
* Log and update claim statuses in the internal system until resolution.
Duties
* Manage the full warranty claims process from initiation to completion.
* Maintain comprehensive and accurate records for both vehicle prep and warranty claims.
* Work closely with internal teams, suppliers, and garages to resolve issues quickly.
* Provide excellent customer service with clear, professional communication.
* Produce reports on warranty claim trends and preparation efficiency.
* Ensure compliance with company processes and policies.
* Support in training staff on warranty and preparation best practices.
Skills & Experience
* Strong administrative background with excellent organisational skills.
* Proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace, particularly Google Sheets.
* Confident phone manner and professional communication skills with customers, suppliers, and garages.
* Experience in data entry and record-keeping with great attention to detail.
* Ability to multitask, prioritise workloads, and meet deadlines.
* Strong ability to negotiate and source cost-effective parts and services.
* A proactive, hands-on attitude with a passion for delivering high standards.
Ideal Candidate
This role would suit someone with experience as a Workshop Manager, Service Advisor, Parts Manager, or similar within the motor trade, who understands vehicle preparation, customer service, and cost control. The right person will be resourceful, commercially aware, and motivated to keep costs down while maintaining quality.

Pay: £40,000.00-£46,000.00 per year
