Taylor Osborne is an executive search firm built on rigorous research and transparent methodology. We offer executive search, talent mapping, and market intelligence to organisations that need intelligence-led hiring — from FTSE 100s to fast-growing scale-ups. We deliver searches and talent maps for organisations including Unilever, Wellcome Trust, and Johnson Matthey.


We work differently from most firms. Our model is project-fee based, not commission-driven — which means our focus is entirely on quality of work and long-term client relationships. Clients own all the IP we generate, our pricing is transparent, and we operate as genuine partners and extensions of internal TA teams rather than transactional suppliers.


The Role

We're looking for an exceptional operator to join our team and take ownership of everything that keeps Taylor Osborne running brilliantly behind the scenes.


This is a pivotal role in our business. You'll be the person who makes sure the engine runs smoothly — managing our finances, operations, supplier relationships, technology, and people infrastructure — while also contributing to how we grow and how we show up externally. You'll work closely with our Directors and will have real autonomy to shape how things get done.


We're a growing boutique, so this role requires someone genuinely comfortable switching between structured process work and creative problem-solving. We want someone who brings ideas to the table, spots things before they become problems, and takes initiative — but equally someone who thrives on getting the detail right and following things through.


What You'll Own

Finance & Accounts

* Managing invoicing and debt collection, ensuring clients pay on time and escalating when they don't
* Overseeing accounts payable, paying supplier bills, and logging items on Hubdoc
* Liaising with our external accountants and managing day-to-day financial administration
* Producing financial analysis of our costs and contractor productivity
* Creating and maintaining finance trigger processes and approval workflows
* Proactively flagging risks, anomalies, or opportunities to the Directors


Supplier & Contract Management

* Owning supplier relationships end to end, from initial setup through to renewal or exit
* Reviewing subscription costs regularly and negotiating better terms where possible
* Transitioning outdated contracts to new and more suitable arrangements
* Liaising with account managers across key platforms including our database and LinkedIn
* Proactively identifying cost savings and improvements without waiting to be asked


Operations & Administration

* Managing the signing of contracts and proposals with clients
* Maintaining and improving our folder structures, removing superseded documents
* Creating business templates that raise the quality and consistency of our output
* Writing and maintaining operational processes including meeting agendas, hiring trigger frameworks, and placement retention tracking for tender purposes
* Supporting the development and delivery of our associate and client feedback processes


People & HR Administration

* Managing holidays and time off for employed and contract staff
* Coordinating associate days and supporting the planning of L&D activity
* Arranging training as needed and supporting onboarding of new team members
* Writing internal frameworks such as the associate feedback form, confirming processes with Directors


Technology

* Overseeing the practical day-to-day tech needs of all team members
* Leading our transition to Microsoft Copilot, building out the migration and development plan
* Staying across new tools and platforms relevant to our business and making recommendations
* Overseeing our database and ensuring it is well maintained and up to date


Marketing Support

* Ensuring our values, positioning, and pitch are consistently reflected across all channels — website, social media, and collateral
* Either overseeing an external marketing partner or, over time, developing into the person who owns this function
* Contributing to content planning and supporting the production of thought leadership and promotional material


Who You Are

You're highly organised and love systems, but you're not rigid — you know when to flex and when to hold the line. You're commercially minded and don't need prompting to spot an opportunity to save money or improve a process. You bring ideas and suggestions to your Directors but are equally happy to take direction and execute well. You communicate clearly and confidently, whether you're chasing an overdue invoice or recommending a new piece of software.


You'll have experience in an operations, business manager, or senior administrator type role, ideally within a professional services or agency environment. Familiarity with finance processes, supplier management, and CRM platforms will be important. Any marketing experience or appetite to grow in that direction would be a real advantage.


Practicalities

* Reporting to the Founder, Director with dotted line to the MD
* Based in Leatherhead or Perth, Scotland— we work from the office four days a week as our norm and would consider three for the right person.
* Salary: Dependent on experience, plus competitive benefits
