About The Role
The Operational Support Administrator plays a vital role in supporting the smooth and effective delivery of fire and flood restoration services. You will be responsible for providing high-quality administrative, logistical, and customer service support to the operational team, helping to coordinate field activities, manage job records and documentation, and ensure client and stakeholder needs are met in a timely and professional manner.
Key Responsibilities
* Maintain and update job management systems with accurate project information
* Prepare key documentation, including job reports, quotations, risk assessments, and method statements.
* Monitor shared inboxes, respond to general queries, and escalate matters when necessary.Support scheduling activities, including technician deployment and site visit coordination.Act as the first point of contact for clients, insurers, loss adjusters, and subcontractors, delivering clear and professional communication.
* Manage inbound calls and emails, offering prompt and courteous support.
* Assist with the resolution of customer complaints, ensuring they are properly recorded and followed up.
* Track job progress and ensure operational milestones are met
* Support submission of project documentation and reports to clients and insurers.
* Work closely with the Contracts Manager, technicians, and subcontractors to ensure efficient delivery of services.
* Provide support to management and directors in the coordination and execution of operational tasks.
* Ensure all administrative tasks comply with company policies, industry standards, and health & safety regulations.
* Maintain accurate and secure records for audit and compliance purposes.
* Assist with stock control, supply ordering, and maintenance of asset registers when required
Skills, Knowledge and Expertise
Essential
* Experience in an administrative or operational support role.
* Excellent organisational skills and a strong attention to detail.
* Confident communicator with strong written and verbal communication skills.
* Proficient in Microsoft Office applications (Outlook, Word, Excel).
* Ability to manage and prioritise a varied workload under pressure.
Desirable
* Industry experience within fire and flood restoration or insurance services.
* Familiarity with job management systems.
* Understanding of insurance claims processes and stakeholder engagement (insurers, loss adjusters).
